    We are currently seeking to add a FRONT DESK ADMINISTRATIVE ASSISTANT to our dynamic team in VANCOUVER, WASHINGTON.

    WORKING WITH THE PBS TEAM

    As a front desk administrative assistant at PBS, you are first and foremost providing exceptional customer service to both external and internal clients. You will provide a welcoming environment to visitors, vendors, clients, and consultants. The ideal candidate for this position is punctual, professional, friendly, energetic, independent, and adaptable. You will be expected to employ great organizational skills and possess the ability to juggle multiple requests and meet deadlines. In addition, the successful candidate will possess the independence to complete tasks and projects quickly, react with appropriate urgency to situations requiring quick turnaround, and take effective action with or without direction. 

    This position is a full-time, in-office position in our Vancouver office. Candidates must be able to regularly begin their workday at 8:00 am with phone coverage ending at 5:00 pm

    JOB RESPONSIBILITIES

    • Answer and manage all incoming calls
    • Greet and assist all visitors and vendors
    • Coordinate conference rooms, events, and meetings (including light technical support, ordering food, setting up/breaking down)
    • Manage inventory of office and kitchenette supplies
    • Maintain overall organization and appearance of reception, conference rooms, kitchen, supply rooms, and common areas
    • Communicate regularly with local staff regarding local activities and events
    • Coordinate with counterparts in other locations regarding processes and supplies
    • Facilitate communication with other building tenants and owners
    • Clerical duties requiring knowledge of MS Word and Excel and data entry
    • Fulfilling printing requests and coordinating with outside print vendors
    • Processing and distribution of incoming and outgoing mail
    • Shipping and receiving through UPS, FedEx, couriers, etc.
    • Travel arrangements for employees as needed/requested
    • Other duties and projects as assigned

    MINIMUM QUALIFICATIONS

    • Experience as a receptionist in a professional services environment or other customer service position
    • Excellent communication and interpersonal skills with a customer service focus
    • Strong computer skills, including email, spreadsheet, and word processing applications
    • Ability to work effectively under pressure to meet deadlines
    • Good problem-solving skills, with the ability to exercise sound judgment
    • Strong organizational, multi-tasking, time management, and prioritizing abilities with attention to detail
    • Capacity to spend prolonged periods at a desk, working on a computer
    • Ability to lift 15 pounds with or without accommodations

     

    PREFERRED QUALIFICATIONS (NOT REQUIRED)

    • Previous experience in the architecture, engineering, and construction (AEC) industry
    • Proficiency with some or all of the following: Microsoft Office 365 (including Outlook, Teams, Word, Excel, PowerPoint) and Adobe Acrobat
    • Working knowledge of business procedures and office equipment
    • 3 or more years of experience in a customer facing service role.
