Job Summary
We are seeking a highly organized and meticulous Accounts Receivable Specialist to join our finance team at Consolidated Personnel Services, Inc., Professional Employer Organization (PEO). The Accounts Receivable Specialist plays a critical role in managing the company’s cash flow by ensuring timely and accurate processing, tracking, and collection of payments from clients. This position supports the financial health of the organization by maintaining precise records, reconciling accounts, and fostering positive client relationships, all while upholding the confidentiality and integrity of financial data.
Key Responsibilities
- Process, track, and record client payments accurately and efficiently, ensuring all transactions are properly documented and compliant with company policies.
- Monitor accounts receivable aging, follow up on outstanding balances, and proactively communicate with clients regarding past-due accounts to facilitate collections.
- Reconcile accounts receivable ledger to ensure all payments are accounted for and properly posted, resolving discrepancies as needed.
- Maintain detailed and organized records of all accounts receivable activities, including backup documentation, correspondence, and payment histories.
- Collaborate with internal teams-such as sales, operations, and customer service-to resolve client billing issues and support cross-departmental initiatives.
- Assist with monthly, quarterly, and annual financial close processes, including preparing journal entries and supporting audit requirements.
- Identify opportunities to streamline and improve the accounts receivable process for greater efficiency and accuracy.
- Provide exceptional customer service to clients, maintaining strong relationships and representing the PEO professionally in all communications.
Required Skills and Qualifications
- Associate or bachelor’s degree in accounting, finance, or business-related field required; relevant experience in accounting, accounts receivable or finance is necessary.
- Strong attention to detail, organizational skills, and ability to manage multiple priorities in a fast-paced environment.
- Two or more years of relevant accounting or bookkeeping experience is required.
- Excellent verbal and written communication skills for effective client interactions and internal collaboration.
- Proficiency in accounting software (such as NetSuite, excel or similar platforms) and Microsoft Office Suite. The ability to create and use pivot tables is a plus.
- Ability to analyze data, reconcile accounts, and prepare relevant financial reports.
- High degree of integrity and discretion in handling confidential financial information.
