    Tapps Island Association, a residential community, is now accepting resumes for the HOA General Manager Position.

    Neighborhood Description:

    Tapps Island, located 30 miles south of Seattle, is a spectacular recreational lake community located in the shadows of majestic Mt. Rainier. Tapps Island Association offers 527 homes strategically arranged on a bridge connected island in Lake Tapps. About 1/3 of the homes are waterfront, while another 1/3 front the golf course. The neighborhood offers incredible views of Mt Rainier and the lake from many vantage points in the community and from the clubhouse. The Association owns and operates private community and amenities combined with the public Tapps Island 9-hole golf course. The clubhouse is the hub of the community with a leased restaurant, gym, pool, admin offices, and pro-shop.

    The neighborhood is one of the most high-end in the south Puget Sound, and offers a relaxed, resort feel. Along with gated, patrolled, 24-hour in-house security you will oversee association owned roads, a water system, several parks, the golf course, and the Clubhouse that serves island residents and is also open to the public. The neighborhood encompasses all 297 acres of the island, plus a 27-acre recreational island with youth baseball and soccer fields and a hiking trail around the perimeter. The community boat launch, beach, volleyball area, heated pool, and gym are extremely active during the summer season. Summer activities include an island wide garage sale, swim lessons, 1st Tee golf camp, tennis camp, fishing camp, 4th of July bicycle and golf cart parade and more!

    Position Summary:

    The General Manager (GM) is responsible for performing, supervising, and coordinating a variety of duties regarding the management of the Association necessary for the proper, safe, and efficient, day-to-day operation and maintenance of the Association. The GM must exercise sound non-discriminatory business practices consistent with governmental requirements and Association policies. The GM implements policies as established by the Board and as set forth in the governing documents of the Association. The GM is responsible to uphold high standards of customer service and operation of Tapps Island facilities, to uphold the community standards established by the Board of Directors (Board), and to manage staff and resources to maximize efficiency. The guidance for the GM is provided by the Board of Directors, the Association governing documents and Board adopted resolutions, rules, policies, and procedures.

    Principal Duties & Responsibilities

    Oversee department managers including administration, golf course, water system, facilities, and security.

    Successful oversight and implementation of a $2.5+ million operating and reserve budgets.

    Be knowledgeable of best practices, and advocate compliance with, local, state, and federal laws, related to community associations and their operations, the Association’s Articles of Incorporation, Corporate Bylaws, Declarations, Association Policies. Utilize sound principals of practice and fairness for all homeowners, and employees.

    Develop operating and capital budgets. Assist with the development of long term financial and operational planning. Manage all invoice coding, invoice submission, and invoice approvals in a timely manner consistent with adopted budget and chart of accounts.

    Accountable for the selection and performance of all association professional service providers and contractors.

    Conduct ongoing common area and facility inspections to be knowledgeable of existing conditions. Become familiar with, and maintain, maintenance schedules and protocols. Make recommendations for and implement new schedules and protocols, as necessary. Coordinate after hours emergency response for matters affecting Association common areas and facilities.

    Oversee proactive ongoing neighborhood inspection process and correspondence related to enforcing the governing documents and policies. Ensure compliance with the Association’s governing documents, policies and applicable state and federal laws.

    Provide professional support and guidance to Committees and Board of Directors. Prepare and distribute meeting packets for Board meetings. Attend all meetings of the Board and Committees. Oversee preparation of meeting space and agendas. Ensure all decisions, minutes, and action items are recorded accurately and follow up correspondence and action items are completed. Provide general guidance to the Board and committee members consistent with the governing documents and laws.

    Establish and monitor the annual calendar of the Association. Oversee Reserve Studies, research issues and presents Board of Directors with recommendations.

    Demonstrate integrity, relationship building with nearby governmental entities, including the Cascade Water Alliance, and the Lake Tapps Community Council, among others.

    Demonstrate professional skills in managing a premier residential community, project management, and/or managing capital improvements.

    Maintain contact with insurance carrier, fire protection, police department, and other agencies having jurisdiction over property to ensure that association is complying with codes and regulations of each agency.

    Oversee accounting and the collection of overdue monthly assessments from residents, including water shut off, lien and legal notices.

    Facilitate the timely and responsive oversight of employee coaching, recruitment, orientation, and retention.

    Interview, hire and train Association staff. Conduct staff performance reviews and salary adjustments. Handle necessary disciplinary procedures, including dismissals. Keep accurate, updated personnel policies, records, and files. Keep Board informed of personnel actions.

    Qualifications, Experience and Characteristics Required:

    Minimum of 10 years job-related experience that demonstrates a progression of responsibilities, project management, and process improvement.

    Minimum 3+ years’ experience as a General Manager or equivalent in the HOA or hospitality industry, with significant luxury or resort experience.

    An associate or bachelor’s degree in business, Hospitality, or closely related fields strongly preferred.

    Preparing for and managing organizational change, tailoring messaging to all levels of the HOA Board and community members.

    Experience managing multiple, competing objectives and tasks.

    Experience working with and reporting to a Board of Directors.

    Strong written, presentation and oral communication skills.

    Exceptional leadership skills and results oriented – Self-motivated, strategic thinker, and positive attitude.

    The successful candidate will have experience with budgeting and financial management, strategic planning, and be ethical, creative, responsive and a teambuilder.

    The GM shall be a skilled communicator with the residents, public, staff, public officials, and board of directors.

    Proficient in Microsoft Word, Outlook, Excel and able to adapt to and learn new technology as necessary.

    SUPERVISION:

    Supervisory Responsibilities: Supervises accounting, maintenance, and security. Liaison with restaurant and golf course leaders.
