The Executive life and schedules are very complex and fast-paced, and it's her desire to only do the mission-critical things of business and delegate the rest to proven administrative professionals. Executive is a high-D (DISC profile) personality type, a big thinker, high-achiever and has high-expectations for those who work with her. She surrounds herself with superstar standouts and is looking for one to partner with in a 1:1 role.

    We are looking for an experienced individual who is a superstar, passionate about achievement, and draws energy from working hard & doing a spectacular job.     WHAT WILL YOU DO?

    Primary Objectives:

    o Work in collaboration with existing real estate support administrators

    o Handle many personal aspects for the Executive

    o Create an environment where the Executive has no worries or responsibilities to deal with. "It's Handled" is how they experience much of life in partnership with this assistant.

    REGULAR WORK ACTIVITIES:

    • Calendar management & scheduling appointments

    • Answering Executives calls

    • Maintain contact lists and assignment of those contacts to tasks

    • Produce and distribute reports, correspondence emails, memos, letters and forms

    • Research and create presentations ( listings, buyers, and external projects)

    • Write letters, postcards, and emails on Executives behalf

    • Interdepartmental coordination

    • Travel as needed to support Executive

    • Managing the household, including coordination of vendors, contractors, managing maintenance, collecting quotes

    • Managing the cleaning staff & keeping it "company ready" at all times

    • Some minor straightening/spot-cleaning, closet organizing, paper management

    • Organizing, decluttering & having everything "put-in-it's-place"

    • Making calls & facilitating whatever needed

    • Shopping, errands, gift wrapping

    • Be on call nights and some weekends to field requests from Executive

    • Facilitate & manage parties & all event planning logistics, including invitations, cleanup, etc.

    • Opening mail, organizing/filing papers, paying bills

    • Working with professional vendors: attorneys, financial planners, bankers, CPA, etc.

    • Gathering tax info

    • Running errands, following up on whatever is needed & doing some "dirty work" might be necessary at times

    • Travel coordination, planning trips, researching destinations

    • Any details or assistance needed in any of their businesses

    We are seeking someone educated, extremely detailed AND service-oriented with a loving heart, "whatever-it-takes" attitude about life, and a natural "What do you need? How can I help?" mantra about his/her work. Ideal candidates will have a high sense of urgency, act with proactivity, initiation, and someone who simply "gets it done" and works FAST. We are looking for seasoned applications with great experience in executive & personal assisting. We need a good "researcher" to figure things out, ability to negotiate with vendors and a proven track record with managing money and the business details of others. This is a demanding position with loads of things happening at a quick speed. Only highly qualified candidates who have worked in this capacity please apply.
