    We are a personal injury law firm, located near downtown off of 59 and Kirby, with an immediate opening for a Legal Assistant in a fast-paced environment, specifically an Intake Specialist. Compensation is dependent on experience. The position is full-time meaning 40 hours a week from 8:00 am to 5:00 pm with one hour for lunch, however additional hours will be necessary depending on the firm’s docket needs. We are located in a building with free parking. Our firm is a growing one that is looking for a motivated and skilled legal assistant to grow with us. Our firm offers a team-oriented atmosphere.

    We are specifically seeking to hire an Intake Specialist/Case Manager Assistant. Prior Personal Injury Law Firm Experience required. Particularly, but not limited to, prior experience in the following areas:

    1. conducting initial client intake by phone, text, email, or in-person
    2. scheduling meetings/conference calls for attorneys
    3. meeting with clients
    4. drafting firm engagement letters and sending to potential clients
    5. requesting police reports and insurance policy traces
    6. making FOIA (Freedom of Information Act) requests
    7. following up with clients regarding outstanding documentation
    8. providing customer service
    9. sending out letters of representation to insurance carriers, on behalf of clients, and setting up personal injury claims
    10. creating and setting up a client matter in firm case management software and/or physical files
    11. scanning, faxing, mailing, and emailing correspondence and documentation internally, to clients, opposing counsel, and/or insurance companies
    12. filing client documents into their case matter on software and/or physical files
    13. communicating with other members of the firm on pertinent treatment status of clients and any other issues brought to legal assistants’ attention by client, medical provider, or any other third party.

    Some college experience required. High School Diploma, required.

    Experience and familiarity with personal injury client software required. Computer skills with Microsoft Word, Excel, and Outlook required.

    Additional job responsibilities include general office duties, maintaining and updating databases, analyzing and creating correspondence and other documents, organizing and storing documents within document storage software, copying, faxing, scanning, and mailing documents, and contacting and following-up with clients, insurance companies, opposing attorneys and their staff, and other third parties.

    The following key qualifications are important to us:

    • BILINGUAL (ENGLISH AND SPANISH), PREFERRED. Our staff must be able to effectively communicate, orally and in writing, with all of our clients, many of whom are Spanish-speaking only; additionally must be able to draft and manage phone messages, voicemails, emails, and other correspondences, and provide updates verbally and in writing, including through client management software, to all members of the firm.
    • Ability to conduct multiple and diversified clerical support functions at the same time. Responsibly handle highly confidential legal documents and information in a discrete and confidential manner.
    • Having great oral and written communication and interpersonal skills.
    • Positive attitude and energy level with the ability to maintain a calm, pleasant, and professional demeanor under pressure and in the face of potentially stressed clients and opposing attorneys and their staff. Attitude and ability to make sure things get done and are figured out regardless of whether the situation is one faced before or new and unique.
    • Reliable, dependable, and timely.

    This is a very fast-paced office with tight deadlines. Our law firm does not miss deadlines, and we do not ask for extensions from opposing counsel. As such, it is important to have a highly effective detail oriented personality to keep tasks and appointments managed and handled appropriately.
