    We are a plaintiff’s litigation firm, located near downtown off of 59 and Kirby, with an immediate opening for a Closing Coordinator in a fast-paced environment. Compensation is dependent on experience. The position is full-time meaning 40 hours a week from 8:00 am to 5:00 pm with one hour for lunch, however additional hours may be necessary depending on the firm’s docket needs. Although the position is full-time, there is a three-month probationary period at the start of employment. We are located in a building with free parking. Our firm is a growing one that is looking for a motivated and skilled legal assistant to grow with us. Our firm offers a team-oriented atmosphere.

    We are specifically seeking to hire a Closing Coordinator. We expect the successful candidate to handle the following duties:

    1. Negotiating medical insurance lien reductions with insurance companies
    2. Negotiating medical bill reductions with medical providers
    3. Negotiating any governmental liens reductions
    4. Researching and discovering any liens that apply to clients’ cases
    5. Communicating with opposing counsel, insurance companies, medical providers, other lien holders, and/or clients to make sure all settlement documents are finalized and settlement check is received by law firm
    6. Tracking any and all loans (principal, interest, and maturity dates) to clients by third party loan companies
    7. Organizing, calculating, and drafting disbursement sheets that contain case settlement amount, attorney fees, original and reduced medical bills amounts, expenses, other lien amounts, loan payoff amounts, and net to clients
    8. following up with clients and medical providers regarding finalizing all documents necessary to close clients’ cases
    9. providing clients with status updates regarding closing process for their respective cases
    10. providing customer service
    11. communicating with other members of firm on pertinent reduction and settlement status of cases, and any other issues brought to specialist’s attention by client, insurance company, medical provider, or any other third party.
    12. meeting with or calling clients, and translating for Spanish-speaking clients as needed, regarding settlement documents

    SOME COLLEGE EXPERIENCE REQUIRED. HIGH SCHOOL DIPLOMA, REQUIRED. Coursework in math, bookkeeping, and/or accounting, preferred.

    Experience and familiarity with personal injury client software required. Computer skills with Microsoft Word, Excel, and Outlook required. Advanced Excel, QuickBooks, and/or other accounting software preferred.

    Additional job responsibilities include general office duties, maintaining and updating databases, preparing and filing documents with various courts, analyzing and creating correspondence and other documents, organizing and storing documents within document storage software, copying, faxing, scanning, and mailing documents, billing, and contacting and following-up with clients, court personnel, insurance companies, opposing attorneys and their staff, and other third parties.

    The following key qualifications are important to us:

    • BILINGUAL (ENGLISH AND SPANISH). Our staff must be able to effectively communicate, orally and in writing, with all of our clients, many of whom are Spanish-speaking only; additionally must be able to draft and manage phone messages, voicemails, emails, and other correspondences, and provide updates verbally and in writing, including through client management software, to all members of the firm.
    • Ability to conduct multiple and diversified clerical support functions at the same time. Responsibly handle highly confidential legal documents and information in a discrete and confidential manner.
    • Having great oral and written communication and interpersonal skills. This includes using proper grammar and spelling.
