    Job Description

    SUMMARY: (FULL-TIME/EXEMPT)

    This position is responsible for executive support of the Chief Strategy Officer. The Executive Assistant also plays an integral role in the daily running of the office, which includes providing comprehensive administrative and clerical support and working on special projects.

    POSITION RESPONSIBILITIES INCLUDE:

    • Manage the calendar of the Chief Strategy Officer, including coordination of meetings, conference calls, answering phones, greeting visitors, and crafting effective communications.
    • Manage appointments; schedule meetings including agendas; compose and prepare correspondence that is sometimes confidential; develop presentation materials; take minutes at board committee meetings and distribute.
    • Support the areas of strategic planning, governance, development and marketing and public relations for the agency.
    • Prepare weekly reports on development progress against goals for fundraising campaigns.

    · Research, prioritize, maintain multiple timelines and follow up on incoming issues and concerns addressed to the CSO, including those of a sensitive or confidential nature.

    · Work with the Chief Strategy Officer to provide donor and prospect profiles and proposals to donors.

    • Implement communication strategies, through print, electronic, and social media channels to support organizational goals.

    · Serve as backup to Special Projects Manager and agency volunteers to organize and maintain donation records, process and track donations, and coordinate donor acknowledgment letters and phone calls.

    · Oversee the work of department volunteers.

    QUALIFICATIONS:

    · Bachelor's degree and 3-5 years of prior Executive Assistant experience required.

    · Poised and professional manner.

    · Proficient computer and database skills, including Microsoft Office Suite and Salesforce.

    · Highly responsible, pro-active and organized, capable of meeting deadlines, maintaining multiple timelines, and working well independently and with others.

    · Ability to work well with and serve as administrative liaison between Board of Directors, executive team members, donors and community representatives.

    · Excellent written and verbal communication skills.

    · Excellent organizational, relationship management, customer service, and donor relations skills.

    · Ability to balance multiple projects and assignments.

    · Excellent time management skills.

    · Interest in and understanding of social and economic justice, HIV/AIDS, and mental health issues preferred.

    · High level of initiative, attention to detail, and strong organizational skills.

    · Unquestionable integrity and commitment to professional ethics, and the ability to handle sensitive and confidential information with discretion.

    · Sensitivity to low-income individuals, people with psychiatric disabilities, people with HIV/AIDS, people of color, active drug users, persons with a history of homelessness or incarceration, and individuals in the LGBT community.

    · Some evening and weekend work required.

     

    PHYSICAL REQUIREMENTS:

    · The position requires standing, sitting, talking, walking, reaching, twisting, turning and also requires bending, grasping, repetitive hand movement and fine coordination in using a computer keyboard and other related office equipment. Additionally, the position requires near and far vision in reading reports and work related documents using a computer. The need to lift, sort and arrange records/files, paper, and documents weighing up to 15 pounds. Some of these requirements may be accommodated for otherwise qualified individuals requiring and requesting such accommodation. May be required to travel for periodic trainings or PRC business related activities.

    COMPENSATION:

    • DOE
    • Annual salary commensurate with experience.
    • 5% employer contribution to 403 (b) plan.
