CONTEXT: Small, privately-owned manufacturing company
Our client, an oil and gas manufacturer, is searching for a Supply Chain Manager who will manage aspects of inventory control and warehouse management while taking into account cost-effective solutions. The Supply Chain Manager will be responsible for audit preparation, weekly reporting, inventory control, managing incoming/outgoing shipments, purchase requests from various departments, and getting price quotes from suppliers. This position requires experience in handling a wide range of administrative and accounting support related tasks and ability to work independently with attention to details.
ESSENTIAL FUNCTIONS
- Cycle counts including counting of inventory, materials, or supplies in stock and post totals to inventory records, both manually and in computer
- Verify clerical computations against physical count of stock, investigate and report reasons for any discrepancies.
- Track the movement of inventory from one location to another and track movement between warehouses.
- Pull material from the warehouse when required by other shops or departments
- Create policy and procedures handbook for best practices and continuity
- Prepare purchase orders and send copies to suppliers and to departments originating requests.
- Prepare, maintain, and review purchasing files, reports, and price lists.
- Creates and maintains an orderly and efficient file system (hard copy and/or electronic)
- Determine if inventory quantities are sufficient for needs, ordering more materials when necessary.
- Contact suppliers in order to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and other problems
- Respond to customer and supplier inquiries about order status, changes, or cancellations.
- Review requisition orders in order to verify accuracy, terminology, and specifications.
- Compare prices, specifications, and delivery dates in order to determine the best bid among potential suppliers.
- Track the status of requisitions, contracts, and orders.
- Calculate costs of orders, and charge or forward invoices to appropriate accounts.
- Check shipments when they arrive to ensure that orders have been filled correctly and that goods meet specifications.
- Compare suppliers' bills with bids and purchase orders in order to verify accuracy.
- Monitor in-house inventory movement and complete inventory transfer forms for bookkeeping purposes.
- Locate suppliers, using sources such as catalogs and the internet, and interview them to gather information about products to be ordered.
- Prepare reports and analytical data to help procurement department effectively manage purchasing.
- Do other tasks that are necessary to help the function of the procurement department.
QUALIFICATIONS
- High School Diploma or GED certificate required.
- Minimum 2 years of procurement, supply chain or inventory control experience.
- Ability to work safely, practice good housekeeping and follow procedures/policy
- Must have strong attention to detail and numerically competent
- Working without patterns of mistakes, oversight and audit failures
- Outstanding administrative and organization skills; detail-oriented; able to prioritize and multitask; strong ownership evident through responsibility and accountability for end product; highly proactive mindset.
- Excellent interpersonal skills; embodies a positive attitude; able to build relationships within the company and with clients and external vendors.
- Ability to expand role beyond responsive support to proactive contributions and ownership for administrative tasks.
- Willingness to work weekdays, some weekends, and long hours if needed.
- Must pass drug and alcohol test.
- Must pass background record check.
