  • Responsibilities

    Maintains a professional image and exhibits excellent customer relations to patients, visitors, physicians, and co-workers in accordance with our Service Excellence Standards and Core Values

    Works under the direction of the Residency Manager to perform all duties necessary to ensure efficient operations of the residency program. Managers all duties as assigned, including but not limited to:

    • Assists with the inprocessing and outprocessing of residents
    • Assists with orientation schedule for incoming residents
    • Assists with planning and coordination of graduation ceremonies and other program events
    • Assists with program meetings by taking minutes, ordering food, preparing notices and handouts as needed

    Provides administrative support to Family Medicine Cheraw Site DirectorPerforms numerous duties, including but not limited to, scheduling, minute taking, emailing, handling visitors, routing callers, coordinating events, and creating and distributing reports

    Manages all resident and faculty schedules; includes rotation, clinic, and call schedules

    • Ensures behavioral standards are adhered to by residents for all rotations, escalating to the appropriate individual when remediation is needed
    • Creates and distributes resident information sheets to all preceptors prior to commencement of rotation
    • Acts as liaison for community preceptors; identifies preceptors and facilitates clinical education opportunities for residents ensuring goals and objectives are met for each clinical rotation
    • Ensures appropriate PLA for all training sites and McLeod legal agreement/VP approval for all McLeod teaching physicians

     

    Responsible for operational management of New Innovations (residency program management system), including but not limited to:

    • Develops and manages rotation and assignment schedules and ensures all schedules remain updated and accurate; Provides completed assignment schedules to appropriate clerical employee for entry into EHR system and communicates schedule changes to all stakeholders effectively.
    • Coordinates and tracks Advisor/Advisee meetings to ensure adherence to policy and accurate data capture in portfolio reviews
    • Maintains accurate rotation list with appropriate configuration for Medicare Cost Report
    • Tracks and manages Resident Evaluations, including but not limited to, monitoring monthly rotation evaluations for duty hour compliance

    Manages all resident and faculty time away from the program

    • Approves and manages resident and faculty PTO requests
    • Approves and coordinates Travel and Education requests for all residents and faculty (CME and operational travel); submits necessary documentation to Administrative Support for completion of all MRMC required processes associated with T&E
    •  
    • Resident FMLA and reading rotations
    • Ensures all time away from program is compliant with ABFM and ACGME requirements

    Contributes to all processes associated with Resident Recruitment, including but not limited to:

    • Active member of the Recruiting Committee
    • Attends off-site recruiting events
    • Participates in applicant selection process and interviews
    • Develops and manages interview schedules in New Innovations

    Attends the annual AAFP Residency Education Symposium in Kansas City, Missouri

    Acts as liaison to and coordinates with AHEC Coordinator to oversee coordination of any Medical Students assigned to Family Medicine services

    Coordinates annual In-Training Exam; including scheduling, ordering, registration and proctoring

    Manages McLeod community preceptor MUSC AHEC Faculty Appointments to ensure proper appointments for all teaching physicians who precept residents

    Attends and participates in department meetings, including but not limited to:

    • Administration, Program Evaluation Committee, Graduate Medical Education Committee, Recruiting Committee, and Events Committee

     

     

     

     

     

     

     

     

     

     

     

     

     

     

    QUALIFICATIONS /TRAINING:

    Minimum 3 years related work experience. Extensive communication skills both verbal and written. Problem solving and organizational skills.  Conflict negotiation skills.  Clerical skills with emphasis in resource management.  Ability to insure the confidentiality of issues.  Strong computer skills including skills in Word, Excel, PowerPoint and internet platform management systems.  

     

    LICENSES/CERTIFICATIONS/REGISTRATIONS/EDUCATION:

    Minimum of a High School Diploma
