    PSE Healthy Energy is a non-profit energy science and policy research institute dedicated to a healthy, resilient, and equitable energy future.

    Our team of public health professionals, scientists, and engineers integrate technical expertise across multiple fields to inform science-based energy policy. Our mission is to generate science-based energy and climate solutions that protect public health and the environment.

    POSITION

    We are seeking a highly organized and detail-oriented Operations Associate to join our growing team of more than 30 full-time scientists, communications experts and development specialists. In this full-time role, the Operations Associate will work closely with the Operations Director as well as other leaders and staff to ensure administrative tasks are completed and the organization functions smoothly and efficiently.     The ideal candidate will be self-motivated with excellent communication skills and the ability to effectively prioritize competing tasks. The Operations Associate will support a broad range of administrative priorities and initiatives including ensuring the smooth day-to-day operations of the organization, including managing facilities, coordinating events, and providing administrative and HR support to the team. The role requires using good judgement and discretion, escalating issues as appropriate, and working both independently and collaboratively. The Operations Associate will be an essential part of our team, supporting the smooth functioning of our research institute.     ROLES and RESPONSIBILITIES

    • Manage the organization's facilities, including maintaining office equipment, ordering supplies, and overseeing office maintenance and repairs.
    • Assist with human resources tasks, including recruitment and onboarding, maintaining employee records, assisting with processing payroll and benefits enrollment.
    • Coordinate staff training opportunities for HR-compliance and professional development
    • Support initiatives that improve operational systems, processes and best practices
    • Updating and rolling out organization policies
    • Assist with coordinating events and meetings, including scheduling, preparing materials, arranging catering, and managing logistics.
    • Assists with planning and execution of special events such as organization-wide meetings, employee recognition, holiday parties, and other celebrations.
    • Provide administrative support to the team, including managing calendars, scheduling appointments, and booking travel.
    • Answers frequently asked questions from employees relative to policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
    • Collaborate with team members to identify and implement process improvements to increase efficiency and effectiveness.
    • Assist with financial and budget management, including processing invoices, tracking expenses, and preparing reports.

    REQUIRED SKILLS

    In addition to an ability to meet the above responsibilities, the position will require the applicant to possess most of the following, with some capabilities in the rest and an enthusiasm for learning:

    • Associates Degree and at least 3+ years experience in a similar role. Bachelor's degree in business administration, nonprofit management, human resources, organizational management, or a related field preferred.
    • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
    • Excellent communication and interpersonal skills, with the ability to work collaboratively with team members and external partners.
    • Close attention to detail.
    • Solid ability to work in a fast-paced environment and follow instructions.
    • Proficiency as Administrator in Google Workspace, Slack, Zoom, Microsoft Suite, and other relevant software tools.
    • Knowledge of operating modern office equipment and ability to troubleshoot computer issues and other technology used on-site and remotely
    • Familiarity with recordkeeping and office management best practices

    **
    DESIRED SKILLS**

    • Certification(s) in areas of human resources (SHRM, PHR); business or nonprofit management; project management or related fields.
    • Proficiency with BambooHR or other HRIS, BreezyHR or other applicant tracking software, Wordpress, Salesforce for Nonprofits, Xero accounting software, Tableau, and/or Canva.
    • Proficient with or the ability to quickly learn payroll management, human resource information system (HRIS), and similar computer applications/SaaS.
    • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
    • Experience with financial management and budgeting.
    • Knowledge of human resources policies and procedures is a plus.

    **PHYSICAL REQUIREMENTS
    ** Prolonged periods of sitting at a desk and working on a computer.
    Must be able to lift up to 15 pounds at times.

    **LOCATION
    ** Oakland, CA. Remote locations will be considered. This is a remote-hybrid position for Bay Area applicants that will require occasional working from onsite at the PSE Headquarters in downtown Oakland, California.

    **SALARY AND BENEFITS
    ** The anticipated salary range for this full-time, exempt role is $65,000-$82,500+, though the successful candidate could be hired above or below this range depending on qualifications and geographic location. Benefits are competitive and include health insurance, 401(k) retirement plan with employer match, 15 days of vacation, paid sick leave and 12+ paid holidays.
