The Opportunity
Reporting to the Director of Events & Engagement, the Engagement Coordinator will provide administrative and program support to the Engagement & Communications team as a whole, which includes units focused on communications, events, donor stewardship, annual giving and alumni relations.
Duties & Responsibilities
- Manage internal and external vendor processes across the Engagement & Communications team including contracts, PSAs, honorariums and invoices.
- In conjunction with directors, act as primary steward of the Engagement & Communications team budgets.
- Provide administrative support for the foundation’s alumni events and engagement program including alumni benefits administration, alumni email management, event ticketing and registration, PSU Works, and engagement data requests, entry and tracking.
- In conjunction with the Stewardship and Annual Giving teams, assist with coordinating acknowledgment letters, donor appreciation gifts and student thank you notes.
- Prepare printed communications materials across team projects, acting as primary liaison with printing vendors.
- Prepare mailings and assemble documents as needed.
- Provide key administrative support for the Engagement & Communications team as needed for team-wide activities including team meetings and retreats.
- Performs additional duties as assigned.
Education & Experience Requirements
- Associates Degree or equivalent combination of education and/or experience.
- Two years of proven administrative experience or relevant student leadership experience.
- Familiarity with donor databases such as Raiser’s Edge or CRM is preferred.
- Familiarity with project management software such as ASANA is preferred.
- Experience in fundraising, communications, or alumni relations in a higher education or non-profit environment is preferred.

- Strong multi-tasker, and can manage multiple deadlines and priorities simultaneously.
- Have the ability to work in a solutions-oriented manner with external partners and constituents such as donors, volunteers, students and faculty.
- When something doesn’t work, you’re able to either fix the problem or find an effective and efficient work-around.
- Ability to build productive collaborative relationships with internal and external partners.
- Proven experience delivering exceptional customer service in high stress situations to individuals from varying backgrounds.
- Excellent analytical, and written and verbal communication skills. Absorb and process what is heard and seen quickly and communicate relevant information in a manner that is readily understood by the intended audience, including customers and team members.
- Understanding of how each team member’s work contributes to the end product, and collaborate to ensure processes run efficiently and effectively.
- Demonstrated computer proficiency, including experience using Microsoft Office, Google Applications, Adobe Sign and other paperless management tools. Experience with expense and financial management systems is a plus.
- Demonstrated reliable, regular, and predictable work attendance.
- Self-motivated and require little guidance to tackle projects, tasks and priorities.
- Ability to create and collaborate within an equitable and inclusive team environment, and to communicate effectively within the context of diverse behaviors, orientations, identities, and cultural backgrounds.

- Work Days/Hours: Full Time, 40 hours/week, Monday-Friday
- Work Type: We currently have a hybrid work model at the PSU Foundation. This position will be required to work at least 16-24 hours/week on Portland State University campus and the remainder of the work week may be worked remotely in Oregon or Washington.
Compensation and Benefits
- Compensation: $19.50 to $24.40/per hour (depending on experience)
