    Job Summary

    We are seeking an office manager to join our team. In this role, you will coordinate all administrative duties and office procedures, ensuring the workplace operates smoothly and efficiently. Your responsibilities will include scheduling, paying invoices, payroll, taking payments, phones, billing for MVA, keeping Dr's books full at all times, finding renters for rooms, producing contracts, negotiating with vendors, and maintaining office equipment. The ideal candidate is highly organized with excellent verbal and written communication skills and the ability to implement systems and procedures. This position is in a small practice working directly with the doctor. You will be wearing multiple hats per day and expected to finish each task before end of day. Looking for a professional with long term employment history and great references. Do you handle stress and multiple tasks at one time with a calm and organized energy? You would be Office Manager, HR, Receptionist and Dr. Assistant all in one. This is a small cash based practice meaning with a highly skilled injection and hormone specialist as the one doctor we do not except insurance, excellent customer service skills is a absolute must. You will be the first person and last person the patient greets.

    Responsibilities

    Maintain calendar of appointments and meetings

    Design the office layout with efficiency and organization in mind

    Collaborate with Dr to create, update, and maintain office procedures

    Maintain office equipment in good working order with the assistance of the IT department

    Pay and record invoices

    Balance QuickBooks with end of day report.

    Self starter

    Negotiate contracts and pricing with vendors and service providers

    Accurately maintain general office budget

    Faxing, Scanning

    Returning all calls

    Scheduling

    Shipping out supplements

    Billing MVAs

    Spinning blood

    Ordering blood draws

    Maintaining an organized work area

    Qualifications

    Doctors Office Experiance min of 3 years

    Sales experience

    Able to run a office

    4 ten hour days Monday-Thursday

    High school diploma

    Previous experience as an Office Manager or similar position preferred for a minimum of 2 Years

    Understanding of office equipment, systems, and procedures

    Skilled in Microsoft Office, Excel, and Outlook, Quickbooks, Officeally

    Excellent time management skills and ability to prioritize multiple tasks

    Strong problem-solving skills and attention to detail

    Excellent verbal and written communication skills

    Excellent Customer Service

    Management in medical health care REQUIRED
