    Job Description

    SUMMARY OF POSITION: The accounts payable clerk compiles, performs data entry, and maintains accounts payable records. May assist as back-up for accounts receivable duties. May assist in other areas of office process as needed.

    PRIMARY DUTIES, SKILLS & ESSENTIAL FUNCTIONS:

    Accounting

    • Maintains all accounts payable reports, spreadsheets and corporate accounts payable files
    • Data entry into MS NAV accounting system
    • Prepares cleared checks for storage
    • Perform Cash Disbursements as needed
    • Perform general office functions such as typing, filing, faxing, sorting, etc., as pertains to area of responsibility. Ensure that all files are kept in an orderly and professional manner
    • Maintain various Excel Spreadsheets as may be required
    • Obtain Various Daily Reports and/or payables information from divisions other than corporate. Carefully review to ensure that all information is accurate and has appropriate Delivery Tickets/Bills of Lading for all pallets received
    • Enter all other pertinent information transmitted by the daily reports
    • Assist other members of the Accounting Team as needed or assigned
    • Perform other miscellaneous projects and duties as assigned by manager
    • Maintain a clean working environment

    Customer Service

    • Answers all vendor inquiries
    • Professional email etiquette
    • Performs filing and coping
    • Ensure that the needs of each customer are met in a courteous and professional manner
    • Accurately compute and pay pallet purchase forms as needed

    SKILLS AND ABILITIES:

    • Oral Expression - ability to communicate information and ideas in speaking so others will understand.
    • Problem Sensitivity - ability to tell when something is wrong or is likely to go wrong. It does not involve solving the problem, only recognizing there is a problem.
    • Must be able to sit for extended periods of time
    • Ability to meet attendance schedule with dependability and consistency

    JOB QUALIFICATIONS/EXPERIENCE:

    • 2 years of college is preferred
    • A minimum of 2 years’ of AP experience is required

    Any combination of education and/or experience that demonstrates the knowledge and ability to perform the work is required. Associates degree in accounting or related field is preferred. Must have at least 5 years of accounting education and experience combined. Demonstrated ability to work in a team environment with minimum supervision and direction. Willingness and ability to perform manual work following verbal and written instructions. Must have the ability to communicate orally and in writing (English).

    JOB EXPECTATIONS

    During the first ninety (90) day of employment, the Initial Employment Period, the employee become familiar with their job responsibilities. The employee will be responsible for carrying out his/her duties as assigned. If at any time the supervisor concludes that the employee is not progressing or performing satisfactorily, the employee may be discharged. Additionally, at all times an employee’s employment is not for any specific period of time and may be terminated at will, with or without cause and without prior notice.

    Tasks

    • Perform general office functions such as typing, filing, faxing, sorting, etc., as pertains to area of responsibility. Ensure that all files are kept in an orderly and professional manner
    • Maintain various Excel Spreadsheets as may be required
    • Obtain Various Daily Reports and/or Payable information for all Divisions. Carefully review reports/information to ensure that all information is accurate and has appropriate bill of ladings showing proof of delivery
    • Ensure that all vendor invoices have been approved for payment by an authorized individual
    • Ensure that all vendor invoices are properly coded to correct expense accounts and division/location
    • Ensure that information is verified to MS NAV as appropriate
    • Enter all other pertinent information transmitted by the daily reports
    • Ensure that back-up documents to each check are attached to check and that amounts shown on check match amounts shown on vendor invoice
    • Perform A/P functions for all locations
    • Perform Cash Disbursements when needed
    • Perform all Accounts Payable functions for all locations

    Expectations

    • Employee will show up every day scheduled, on time and ready for work
    • Perform assigned tasks to completion
    • Follow all rules and policies set forth by the Department manager and/or Supervisor
