Estate Settlement & Estate Planning Paralegal

We are a fast-growing, fast-paced boutique law firm in Madison, Wisconsin, seeking a detail-oriented and highly organized paralegal to support our estate planning and estate settlement practices, with a primary focus on probate and trust administration. This role involves working closely with attorneys, senior paralegals, and clients to manage estate matters from initial intake through final distribution. The ideal candidate is organized, proactive, and confident in managing deadlines, drafting legal documents, and maintaining consistent communication with clients and other involved parties.

Core Responsibilities:

• Assist attorneys & senior paralegals in all aspects of estate settlement, including probate and trust administration
• Prepare and file probate documents, including petitions, inventories, and final accountings
• Communicate regularly with clients, beneficiaries, courts, and financial institutions
• Coordinate the collection, valuation, and distribution of estate assets
• Draft correspondence, legal documents, deeds, and transfer forms
• Facilitate asset transfers, including retitling, beneficiary changes, and claim forms
• Maintain case files, calendars, and deadlines for multiple matters
• Support estate planning matters as needed, including drafting basic documents and organizing signing appointments
• Attend and document client meetings and assist in follow-up communication

Key Qualifications:

• Paralegal certificate or equivalent experience required
• Must have a minimum of 2 years of experience in estate settlement, probate, or trust administration
• Working knowledge of estate planning documents and asset coordination
• Strong organizational and time management skills
• Excellent communication skills, both written and verbal
• Proficient in Microsoft Office (Word, Excel, Outlook) and comfortable with legal practice software
• Ability to work independently, manage multiple priorities, and maintain strict confidentiality
