The Estate Administration Paralegal is responsible for providing support to attorneys in the administration of estates and trusts, while also playing a key role in engaging and onboarding new clients. This includes preparing and filing probate documents such as petitions, inventories, and accountings; managing deadlines; organizing documentation received from clients; and assisting with the valuation and distribution of estate assets. Given the sensitive nature of this work, this role requires high emotional intelligence to support clients who are navigating a difficult time in their lives. In addition, this role is responsible for engaging with prospective clients to confirm they are the appropriate fit for the firm, identifying their needs and pain points, determining the scope of services required, and assuring potential clients that the firm is equipped to help them. The Paralegal Plus helps ensure a smooth onboarding process and manages workflow through the full lifecycle of a matter—from the initial client call to the closing of the file—so clients receive consistent, high‑quality service throughout. Work Conditions & Physical Demands This position is primarily remote, with work typically performed in a home office environment where temperature and noise levels are consistent with a standard office setting. Occasional travel may be required for in‑person meetings, vendor fairs, seminars, or similar events. The role involves extended periods of sitting, computer and phone use, regular verbal and written communication, and occasional standing, walking, bending, stooping, kneeling, and lifting or moving items up to 20 pounds. Responsibilities: Essential Duties and Responsibilities • Meet with prospective clients to: Confirm whether their needs fall within the firm’s areas of expertise. • Meet with prospective clients to: Scope the matter by assessing pain points, determining the legal services required, and defining objectives of representation. • Meet with prospective clients to: Assure potential clients that the firm has the resources and capability to address their needs. • Meet with prospective clients to: Engage prospective clients by securing execution of the engagement agreement when appropriate. • Onboard new clients by establishing the file, communicating expectations, and providing a clear outline of the process, timelines, and deliverables. • Manage workflow for each matter from initial intake through file closing, including entering tasks, deadlines, and milestones into the firm’s case management system, monitoring progress, and ensuring timely completion of all tasks. • Draft, file, and manage probate pleadings and related court submissions in North Carolina estate administration matters, including petitions, notices, inventories, and accountings. • Prepare documents for trust administration, including correspondence, asset lists, and distribution schedules. • Assist clients with the collection, valuation, and marshaling of estate and trust assets. • Communicate professionally and compassionately with clients, beneficiaries, financial institutions, government agencies, courts, and other case parties by phone, email, and written correspondence. • Assist attorneys in preparing fiduciary accountings and formal or informal settlement agreements, and handle the preparation of receipts, releases, and waivers for beneficiaries. • Maintain and organize physical and electronic files, correspondence, and documentation in accordance with legal requirements and firm procedures, tracking key dates and ensuring all deadlines are met. • Review matters at closing to confirm all obligations are completed, documentation is finalized, and the client experience reflects firm standards. • Perform other duties as assigned. Qualifications: **Education & Experience ** • Associate’s degree, Bachelor’s degree, or Paralegal certificate from an ABA‑approved program required. • Minimum 3 years of hands‑on experience in North Carolina probate/estate and trust administration as a paralegal or similar role. • Familiarity with North Carolina probate rules, procedures, and timelines. • Working knowledge of relevant estate/trust accounting principles. • Strong written and verbal communication skills with the ability to interact professionally with clients and third parties, and to explain complex steps in plain language to clients under stress. • High level of discretion and confidentiality. • Exceptional attention to detail and organizational skills, with proven ability to manage a busy caseload without dropping deadlines. • Proficiency in legal software and document management systems, including Excel, Word, and estate administration/case management platforms such as Clio Manage or similar.
