We're looking for an organized, detail-oriented, and experienced paralegal to play an important role on our legal team. You'll draft legal documents such as probate documents, and keep case files and other important information neatly organized and easily accessible. Responsibilities: Probate Estate Administration • File preparation & case initiation: Draft and file petitions for probate, applications for personal representative appointment, and related pleadings; coordinate publication and service of notices. • Estate inventory & accounting: Collect, organize, and maintain asset information; prepare inventories, accountings, receipts, and disbursements; track deadlines for interim and final accountings. • Creditor claims management: Provide statutory notice to creditors, track claims, verify validity, negotiate resolutions, and prepare claim allowances/denials. • Document drafting: Draft waivers, consents, letters testamentary/administration, fiduciary bonds, orders, and proposed decrees; prepare deeds for real property transfers. • Docketing & deadline control: Maintain a structured docket for all statutory and court-imposed deadlines (notice periods, inventory filings, accountings, hearings). • Court filings & hearings support: E-file documents, coordinate hearing calendars, prepare hearing binders/exhibits, and manage correspondence with court clerks. • Distribution & closing: Prepare proposed distribution schedules, receipt and release forms, and closing documents; assist with obtaining court approvals and releases. Trust Administration • Trust onboarding & funding: Review trust instruments; prepare funding checklists; coordinate retitling/assignment of assets (bank/investment accounts, real property, insurance, business interests). • Fiduciary support: Assist trustees with duties (notices to beneficiaries, annual statements, accountings); maintain trust calendars and compliance logs. • Beneficiary communications: Draft beneficiary notices, distribution letters, and disclosure packets; address routine beneficiary inquiries professionally. • Distributions & payments: Prepare distribution requests; verify balances; track approvals; document and reconcile payments/distributions. Guardianship / Conservatorship • Case initiation: Draft petitions for guardianship/conservatorship; prepare supporting affidavits, physician’s statements, background check materials, and proposed orders. • Notice & service: Coordinate service on interested parties; arrange publication or special service requirements; track statutory notice periods. • Fiduciary qualification: Assist with bond procurement, letters of guardianship/conservatorship, and initial reporting obligations. • Ongoing reporting: Prepare initial care plans and annual reports/accountings; track court deadlines; compile receipts and disbursements; coordinate evaluations when required. • Court liaison: E-file pleadings, schedule hearings, and communicate with court personnel; prepare hearing materials and witness lists. Cross-Functional & Administrative • Document management: Organize and maintain electronic files; ensure version control and secure storage of sensitive data. • Professional communication: Serve as primary point of contact for personal representatives, trustees, guardians, beneficiaries, and opposing counsel; draft clear, courteous correspondence. • Calendar & task tracking: Maintain shared calendars for court dates, filing deadlines, and fiduciary reporting; escalate risks proactively. Qualifications: • Minimum of 3-5 years of experience as a paralegal, preferably in probate or a related legal field. • A bachelor’s degree or paralegal certification from an accredited program is required. • Strong understanding of estate planning laws and procedures. • Excellent organizational skills and attention to detail. • Proficiency in legal research and document drafting. • Strong communication skills, both written and verbal. • Ability to handle sensitive and confidential information with discretion. • Proficiency in legal software and Microsoft Office Suite. Compensation: $55,000 - $65,,000 yearly
