Job Description
Responsible for managing and maintaining the Lot Specific Application of the Division’s Purchase Order System in strict compliance with the Corporate Policies and Procedures, and providing general support for the division regarding the use of all Corporate Information Systems. Also, to monitor requests for any additions to current job starts and all activities related to the accuracy of the assembly detail with Purchasing Manager.
Hours:
Minimum of forty (40) hours per week, typically Monday – Friday, 8:00am – 5:00pm

Requirements:
· High school diploma – some college preferred
· 2 years prior experience in residential single or multi family home purchasing
· Basic computer skills – Word, Excel, Outlook, Adobe PDF, Planswift, and Marks Systems
· General knowledge of the home building process – construction knowledge a plus
· Understand house plan drawings, specifications, unit costing and quantity estimating of construction materials
· Ability to read blue prints and do “take-offs” is a plus
· Strong organizational and communication skills
· Ability to work independently, exercise good judgment, and seek additional information as needed
· Strong ability to work efficiently in a fast paced environment, meeting deadlines and maintaining accuracy
Responsibilities:
· Ability to coordinate the cost management process as it relates to estimating, budgeting, and purchase orders
· Manage vendor emails for PO and VPO requests and price increases
· Assist purchasing agent and manager in creating contractor bid packages for communities with specs, plans, community plats and landscape plans, etc.
· Review and understand requirements and specs for communities to bid, to assist purchasing agent or manager, so subs and vendors can bid accurately
· Review and monitor PO requests to ensure takeoffs are current and accurate with the Estimating Database, determine when an issue needs to be sent to upper management for review regarding increased costs or take off issue
· Assist to process and approve VPO requests above approval threshold or if more investigation is required to approve
· Monthly uploads of all active Subcontracts and Purchase Orders, ensuring the most current and accurate pricing for all communities
· Ensure that every division Start has complete and accurate PO’s as part of the Start Packet (100% prior to house start) – including any CPR’s, Model Home Discounts, Change Orders, or price increases. Use each P.O. release to edit and create a new accurate assembly for all items within the release.
· Edit ITK Templates as required to maintain accurate pay point to schedule task relationships. Assume responsibility for accuracy of populated schedules when changes are inputted at the template level.
· Assist in Estimating Custom Option Requests and input Custom Option estimates into approved lot specific assembly
Other Requirements (e.g. Travel, Physical Demands):
· Employee must own or lease a vehicle and possess a valid driver’s license with insurance coverage. Employee must be willing to travel to divisions and address purchasing compliance issues with a limited time frame at any one location.
