FULL TIME EXECUTIVE ASSISTANT: HIRING IMMEDIATELY
Parents Anonymous® Inc. is seeking to hire an energetic, detail oriented, skilled communicator, and consummate professional experienced in working to support the President and CEO. This is a Full-Time exempt position with a generous benefits package that includes 10 days of paid vacation after introductory period and shared premium health/dental/vision insurance. RESPONSIBILITIES
Ø Document, track and provide support to all public policy, development, research, media & program work of the President & CEO
Ø Maintain a Task List utilizing the S.M.A.R.T. Model
Ø Select and utilize a CRM System to manage contacts and all projects of the President & CEO
Ø Conduct background research on possible funding, publicity, and other opportunities to further the goals
Ø Manage the President and CEO’s calendar and provide a daily itinerary with meeting reminders, background materials including TV, radio, and podcast interviews.
Ø Make travel arrangements, complete and submit expense reports and manage Petty Cash
Ø Organize, attend and document Weekly Consultant and Senior Management Meetings
Ø Coordinate all California Parent Leadership Team® Activities: meetings and assignments
Ø Attend with the President assigned Coalition, Task Force and Advocacy Meetings and support with preparation documents, take notes and track follow up
Ø Oversee office operations to support a safe and productive environment including ordering supplies, maintenance of equipment and facilities, legal postings, and office space
Ø Design and implement an efficient documentation and filing system, both paper and electronic
Ø Organize outreach and program materials
Ø Produce layout of reports, presentations, briefs, memos and other documents of President & CEO
Ø Other duties as assigned; and,
Ø Reports to the President and CEO.
REQUIREMENTS
Ø Must embrace and reflect in all Job Responsibilities the Mission, Vision, and Principles of Parents Anonymous® Inc.
Ø Must have a minimum of 3 years proven experience as an Executive or Administrative Assistant
Ø Must have well-developed computer skills and excellent knowledge of MS Office 365: Word, Excel, Power Point, and OneDrive
Ø Must have full comprehension of office management systems and procedures
Ø Must have excellent verbal and written communications skills
Ø Must be able to multitask, prioritize, document and monitor success of daily workload with exemplary planning and time management skills by implementing S.M.A.R.T. plans;
Ø Must embrace the utmost discretion and confidentiality and respect boundaries of organizational operations
Ø Bachelor’s degree required
Ø Must embrace the philosophy and theory of change of Parent Anonymous® including mutual support, parent leadership, shared leadership® and personal growth and change.
Ø Must be a quick learner, high intelligence, passionate, and team player.
Ø Must have a working vehicle and a valid driver’s license.
Ø Must be regularly tested for COVID-19, must come to office in Claremont several times a week and otherwise work remotely. Upon the end of such restrictions, work will resume at the headquarters office in Claremont CA.
