    OPERATIONS ADMINISTRATIVE SPECIALIST

    FORTH WORTH, TX 

    JOB SUMMARY:

    The Operations Administration Specialist performs a critical function for the operation of the plant in the support of the General Manager, Plant Management and Human Resources.   The duties are varied and are specified by plant location to meet the needs of the specific plant.  As in the production of our food products, we are custom in how we approach the work.  The overall main purpose of having an Operations Administration Specialist is to aid the General Manager through plant support functions, provide coverage for the office area of the plant, represent Park 100 Foods in a professional manner to internal and external customers, and to support employees as the front-line support in HR while referring specific needs to the corporate HR staff.

    EDUCATION REQUIRED:  A Bachelor’s Degree Preferred; Associate Degree Required

    SKILLS REQUIRED:

    • Must be able to perform data entry functions into proprietary and purchased databases
    • Must be able to accurately and quickly type documents
    • Must be able to create and manipulate data in electronic spreadsheet format.  Required to learn the operations of the plant to accurately and efficiently provide support to the General Manager, HR Director and plant managers
    • Must possess demonstrated skills in Microsoft Office products to include Word, PowerPoint, Excel
    • Must possess demonstrated skills in organization and the ability to multi-task in a demanding environment
    • Must have excellent time management and people skills
    • Must possess critical thinking and problem-solving skills

    ESSENTIAL FUNCTIONS:

    1. PRODUCTION SCHEDULING AND WORK ORDER PROCESSING
    • Review production needs and schedule runs per the direction of the General Manager
    • Print, issue, collect, and close work orders in Navision ERP system
    • Receive raw materials and transfer finished goods in Navision ERP system
    • Manage schedule changes and communicate changes to the production team, R&D and USDA in a timely manner.
    • Update and manage process time sheets
    • Complete yield reporting on a daily basis
    1. ASSISTANT TO GENERAL MANAGER
    • Prepare documents as needed to include letters and other communication
    • Prepare spreadsheets, charts, and reporting using data collection and analysis
    • Complete advanced excel work regularly including vlookups, functions, and complex data manipulation
    • Represent Park 100 Foods and other leaders in a professional manner, demonstrating respect, diplomacy and tact at all times
    • Keep confidential information confidential at all times
    • Other duties as requested to support efficient plant operation
    1. RECEPTION
    • Answer phone and welcome visitors
    • Respond to employee inquiries
    • Maintain the supply closet through inventory and stocking
    • Order and replenish supplies for Plant, QA, and R&D
    1. HUMAN RESOURCES
    • Maintain confidentiality with managers and employees. Treats everyone as equals.
    • Collect all new hire paperwork and sends to corporate Human Resources for processing
    • Administer employee biometric timeclock
    • Review and correct employee time clock punches and finalize hours for submission to payroll
    • Record all absences, tardies, vacations, or partial days and document as needed in the HRIS (i.e., vacation, suspension, FMLA, medical or personal leaves).
    • Coordinates all monthly training for employees in the plant, scheduling and keeping team on track with training schedule
    • Using notifications from the HRIS software, reviews and forwards disciplinary actions to supervisors and managers for follow-up and completion with the employees.
    • Processes requests for time off: swapping shifts, coverage and adding shifts
    • Creates and maintains all employee schedules for a minimum of four-week increments
