Administrative Assistant (Part-Time, Flexible Hours)

RER Fuel, Inc. is a small, family-owned home heating and cooling company proudly serving our community since 1984. We’re looking to add a reliable, detail-oriented Administrative Assistant to support our day-to-day office operations.
This is a part-time role offering flexible scheduling, ideal for an organized and self-motivated individual who thrives in a fast-paced small business environment. Weekly hours typically range from 5–15, with the potential to increase over time.
Scope of Work/ Key Responsibilities:
· Support Accounts Payable processes, including entering bills, receipts, and related transactions in QuickBooks Online
· Assist with Accounts Receivable by maintaining customer records and processing invoices and payments in QuickBooks and related fuel and dumpster management systems
· Provide customer service support, coordinate office activities, and prepare reports as needed
· Manage multiple client accounts while efficiently navigating and transitioning between systems
· Assist with payroll processing, administrative duties, and other projects as assigned
· Organize and maintain digital documents across various platforms, including Dropbox, Ignite, QuickBooks Online, and other operational systems
· Maintain accurate filing of physical documents
· Order, track, and manage office supplies
· Collaborate daily with company owners and the Office Manager
· Provide general operational support as needed
Requirements:
· Proven experience with QuickBooks Online (required)
· Proficiency in Microsoft Outlook, Word, Excel, and OneNote
· Strong overall technical aptitude, including email, smartphone, and messaging tools
· Excellent organizational skills with the ability to manage multiple priorities
· High level of accuracy and attention to detail
· Strong written, verbal, and listening communication skills
· Ability to work both independently and collaboratively within a team environment
· Positive attitude with a willingness to learn and adapt
· Ability to handle sensitive information with a high degree of confidentiality
· Prior office experience preferred
Pay:
$25 – $30 per hour, based on experience
