We are seeking a detail-oriented and reliable Finance & Office Administrator to support our administrative and financial operations. This role is ideal for someone who thrives in a structured environment and is experienced in bookkeeping, payroll coordination, and general office finance tasks.

    Job Summary

    We are seeking a talented Bookkeeper to join our team. In this role, The Bookkeeper will be responsible for managing and executing key accounting and administrative functions. This includes payables and receivables, payroll support, project billing, and financial reporting tasks using SAGE, ADP, and Quantum systems.

    Key Responsibilities:

    Enter payables and receivables into SAGE

    Generate deposit slips and journal entries for account transfers

    Process biweekly payroll and prevailing wage data via ADP

    Ensure payroll coverage and coordinate with leadership on fund transfers

    Review and submit 401k contribution reports

    Generate and submit Certified Payroll reports

    Manage Positive Pay process

    Create new projects and add change orders in Quantum

    Generate monthly AIA pay applications and related documentation

    Follow up on receivables and customer payments

    Track and report labor hours for OCIP & CCIP projects

    Confirm payroll tax filings with payroll company

    Handle contractor and business license renewals

    Support job costing reporting

    Contact SAGE support for troubleshooting

    Order office supplies

    Requirements:

    Proven experience in bookkeeping or a similar finance role

    Proficiency with SAGE, ADP, and/or similar accounting software

    Familiarity with payroll and certified payroll reporting

    Strong attention to detail and time management skills

    Ability to work independently and communicate effectively

    Notary license preferred (or willingness to obtain)

    Schedule:

    Part-time: 20–28 hours per week

    Hours must be worked between 8am-4pm Monday through Friday.

    This is an in-person role.
