Position Overview
We are seeking a skilled and proactive Part-Time Bookkeeper and Administrative Assistant to support the financial and administrative needs of a small business. This role is remote but requires monthly financial discussions, which can be conducted in person or via Zoom.
Responsibilities
Bookkeeping:
- Prepare financial reports, including Profit & Loss statements.
- Manage and reconcile QuickBooks (desktop and online), ensuring accurate data entry, categorization, and integration with systems.
- Create and issue 1099 forms; provide necessary information to the tax agent.
- Process invoices and vendor bills, manage accounts receivable, and oversee automated billing.
- Organize financial records and ensure timely collection of payments.
Administrative:
- Manage emails, automations, and business settings.
- Capture leads received from website forms, project set up.
- Assist with project onboarding
- Maintain workflow organization.
- Support business growth through effective communication, innovation, and problem-solving.
Growth Opportunities (Full-Time Potential):
- Schedule projects and add material/installation dates to calendars (through project management system.)
- Retrieve subcontractor workflow updates, create reports, and distribute weekly on our shared system.
Requirements:
- Education and experience in bookkeeping and administration (4 years preferred).
- Proficiency in QuickBooks (desktop and online).
- Strong organizational, multitasking, and communication skills.
- Innovative thinker with problem-solving abilities.
- Understanding of small business operations, related to the design & construction industry.
- Availability for monthly financial meetings (in person or via Zoom).
Preferred Skills:
- Familiarity with automation tools and system integrations.
- Experience in project management and process improvement.
