    West Coast Trans Alliance is seeking an experienced and organized individual to support our Asset division, West Coast Trans Intermodal, as a Part-Time Drayage Administrative Assistant. This role operates out of our Downtown Long Beach brokerage office, with potential occasional visits to our truck yard in Wilmington. This role is in-person, M-F 0730-1200.

    Duties and Responsibilities

    Document Management:

    Organizing, filing, and maintaining important transportation documents such as bills of lading, delivery receipts, and proof of delivery.

    Ensuring compliance with regulations by keeping records of driver logs, fuel receipts, and other required paperwork.

    Data Entry and Reporting:

    Inputting data into company systems, including driver schedules, freight information, and billing details.

    Generating reports on fuel consumption, trip details, and other operational metrics.

    Communication and Coordination:

    Serving as a liaison between drivers, dispatchers, and customers to relay information about delivery schedules, delays, or issues.

    Communicating with suppliers and vendors for office supplies, truck parts, or maintenance needs.

    Invoicing and Billing Support

    Assisting with the preparation and distribution of customer invoices.

    Coordinating with the accounting department for payment tracking, accounts payable, and accounts receivable.

    Scheduling and Logistics

    Helping to coordinate the dispatch schedule, ensuring that loads are assigned to drivers and that deliveries are planned efficiently.

    Assisting with tracking shipments and verifying delivery times to meet customer requirements.

    Compliance and Regulatory Assistance:

    Keeping with with transportation regulations such as FMCSA (Federal Motor Carrier Safety Administration) rules and ensuring driver qualifications, drug tests, and licenses are up to date.

    Maintaining records for DOT (Department of Transportation) compliance.

    General Office Tasks:

    Answering phones, responding to emails, greeting visitors, and handling general office correspondence.

    Managing office supplies, organizing meetings, and performing other administrative duties as needed.

    Who We're Looking For:

    An individual with exceptional organizational skills capable of juggling multiple tasks.

    Someone with QuickBooks or other Accounting software experience

    Preferably someone with experience of logistics/drayage industry

    Excellent communicator with a focus on providing best in class customer service.

    A team player who is ready to jump in and help where needed.

    A quick learner who can thrive and adapt in a dynamic, high-energy environment.

    Qualifications:

    Authorization to work in the US

    High School Diploma or Equivalent

    Minimum 1 year of Bookkeeping/Office Management

    Ability to be highly organized/detail-oriented

    Must be able to work accurately and efficiently

    Ability to communicate thoroughly and professionally with all internal/external parties
