Part-Time Front Desk Coordinator – GlamRUs Medspa, Coconut Creek FL
GlamRUs is a future-forward medspa offering aesthetic and wellness treatments powered by advanced technologies and expert-led care. We are seeking a dynamic, organized, and motivated Front Desk Coordinator to support day-to-day operations and drive growth as we expand.
The Front Desk Coordinator is responsible for overseeing the daily operations of the medspa, supporting staff performance, maintaining exceptional client experiences, and contributing to business development initiatives. This role will partner closely with ownership to implement systems that increase revenue, ensure staff accountability, and support expansion.
• Supervise and support front desk, aestheticians, and injectors
• Monitor schedules, ensure punctuality, and assist with coverage planning
• Conduct regular team check-ins and assist with basic training follow-through
• Manage opening/closing procedures, inventory tracking, and supply ordering
• Handle team-related concerns, customer complaints, and day-to-day problem-solving
• Track daily sales, rebooking, membership conversions, and retail-to-service ratios
• Assist team in hitting KPIs by reinforcing sales strategies and setting goals
• Prepare weekly reports for ownership on staff performance and business metrics
• Ensure all clients receive a 5-star experience from arrival to follow-up
• Manage communication tools (phone, text, email, Vagaro messages) professionally
• Support front desk scripting for consults, follow-ups, and membership promotion
• Help execute seasonal promotions, flash sales, and community engagement events
• Coordinate marketing material updates with ownership and content creators
• Ensure promotional signage, in-store displays, and digital assets are current
• Contribute to launching new services, products, and signature protocols
• Assist with partnership outreach, referral programs, and collaboration opportunities
• 2+ years in medspa, aesthetic, or wellness operations
• Strong communication and team-building skills
• Sales-savvy with knowledge of treatments, memberships, and client care
• Proficient in scheduling software (Vagaro a plus), Google Workspace, and CRM basics
• Positive, proactive, and able to work independently
• 20 hours/week, on-site at GlamRUs Medspa (must work on Monday)
• Flexible hours with a mix of front-of-house and administrative time
