Job Summary
We are seeking a motivated and outgoing Part-Time Office Administrator / Receptionist to join our team. In this role, you will provide clerical and administrative support to our employees, ensuring the office runs smoothly and efficiently. Your responsibilities will include answering phone calls and greeting visitors, maintaining office equipment and building maintenance requests, typing engineering and marketing correspondence. The ideal candidate is highly organized with excellent written and verbal communication skills and a friendly demeanor.
Responsibilities
Greet and assist clients as they arrive
Answer incoming phone calls and route them to the appropriate person
Maintain office calendar
Organize lunch meetings
Write emails, memos, specifications, and letters and distribute them appropriately
Perform basic administrative activities
Order office supplies
Communicate all building maintenance issues to property manager
Coordinate with office equipment vendors and janitorial staff as needed
Create and maintain a log for all company software
Assist with tracking continuing education requirements for engineers
Design marketing material for client proposals (knowledge of Adobe InDesign software preferred)
Qualifications
High school diploma/GED required, Associate’s degree or administrative training is preferred
Previous experience as an Office Administrator or in a similar position
Familiarity with standard office equipment such as printers, copiers, multiline telephones
Excellent computer skills and knowledge of Microsoft Word, Excel, Outlook, PowerPoint, and Adobe InDesign
Highly organized with excellent time management skills and the ability to prioritize projects
