About the Position
Vision Life LLC is seeking a dependable, organized, and professional Part-Time Office Support / Administrative Assistant to assist with day-to-day administrative operations. This position is ideal for someone who is detail-oriented, communicates well, can work independently, and is comfortable managing multiple priorities in a fast-paced environment.
Experience working in Supported Living Services (SLS), healthcare, developmental services, or social services is highly preferred.
Key Responsibilities
Provide general administrative and office support to management and staff
Maintain organized employee, client, compliance, and administrative records
Assist with filing, scanning, data entry, document preparation, and recordkeeping
Monitor paperwork for accuracy, completion, and required signatures
Assist with employee onboarding and compliance documentation
Prepare and organize spreadsheets, forms, reports, and other office documents
Respond professionally to phone calls, emails, staff, applicants, and outside contacts
Assist with scheduling, follow-ups, and other office coordination needs
Maintain confidentiality when handling employee and client information
Support management with special projects and additional administrative duties as needed
Help ensure office records and documentation remain organized and up to date
Qualifications
2+ years of administrative support or office coordination experience
Experience in SLS, healthcare, or social services preferred
Strong organizational and time-management skills
Proficiency in Microsoft Office, including Word, Excel, and Outlook
Experience using Google Workspace/G-Suite tools
Knowledge of Regional Center services, Medi-Cal, and IHSS is a plus
Excellent written and verbal communication skills
Strong attention to detail and ability to follow through on assignments
Ability to multitask, prioritize responsibilities, and work independently
Ability to handle confidential information professionally
High school diploma or equivalent required
Associate’s or Bachelor’s degree preferred
