    Job Title: Part-Time Operations Support

    Reports To: Scheduling Manager

    Job Overview: The Part-Time Operations Support role is responsible for supporting the scheduling, service, and operations departments by assisting with day-to-day scheduling and administrative activities to ensure projects and services remain on track. This role plays a key part in maintaining communication with clients, confirming readiness for upcoming jobs, and keeping internal systems and documentation organized. The ideal candidate is detail-oriented, proactive, and comfortable managing multiple priorities in a fast-paced environment. This is a part-time position 25-30 hours a week and can grow into a full-time role.

    Responsibilities:

    Scheduling support:

    · Leverage digital communication with client/accounts to make sure they are ready for delivery of our product.

    · Contact the scheduled clients approximately three weeks before scheduled dates to confirm client readiness and identify any potential delays.

    · Confirm jobs scheduled for the following week to ensure they are ready to proceed and coordinate any necessary adjustments.

    · Schedule service appointments and add-on projects in coordination with the Scheduling Manager.

    · Communicate with clients and internal teams to ensure accurate scheduling and efficient workflow.

    Service and operational support:

    · Update our systems with service tags, job documentation, and relevant project notes.

    · Prepare project packets for upcoming installations and service work.

    · Handle scheduling responsibilities during the Scheduling Manager’s planned time off.

    Qualifications:

    · Strong organizational, customer service, and communication skills.

    · Attention to detail and ability to manage multiple tasks efficiently.

    · Proficiency in CRM systems, digital documentation tools, and basic computer software.

    · Prior experience in scheduling, coordination, or administrative support (preferred).

    · Ability to work independently and as part of a team.

    Hours: Part-time, 25 - 30 hours per week.
