This role requires a seasoned professional with demonstrated expertise in USA payroll and benefits administration , as well as a solid foundation in human resources.     How You Will Contribute:

    The People & Culture Specialist role at Pulsara is a part-time (25 hours a week), 100% remote ( must be based in the USA) role primarily focused on payroll and benefits administration. Responsibilities include processing payroll through a third-party vendor, managing benefits administration, maintaining accurate HR records, and supporting onboarding and offboarding processes. The ideal candidate is detail-oriented, technologically savvy, adaptable, and brings a sense of humor to their work.

    Additionally, as a key member of our small team, you will collaborate closely with the Director of People & Culture on HR-related projects and initiatives. You will be the payroll and benefits expert for our multi-state workforce, ensuring compliance with applicable regulations and identifying opportunities for process automation and efficiency.

    This position plays a critical role in the smooth operation of our People & Culture function, supporting team members with their needs and strategically scaling our processes.

    Responsibilities include:

    1. Payroll Expert: Process semi-monthly payroll through our third-party vendor/HRMS, adhering to strict timetables and schedules. Troubleshoot state unemployment and withholding issues, assist with new state setups as we expand, and ensure timely and accurate payroll processing—because no one should worry about their paycheck.
    2. Benefits Administrator: Respond to team members' questions regarding benefits, assist with life event changes, reconcile insurance carrier/vendor bills, maintain third-party vendor system data, and facilitate the annual open enrollment process for benefits and 401(k).
    3. People & Culture Advocate: Serve as a point of contact for team members, addressing diverse inquiries and tasks to ensure their concerns are resolved promptly and effectively.
    4. Record Keeper Extraordinaire: Maintain the integrity of the HRMS and team member records. Manage and maintain our policies, procedures, work instructions, training materials, and more. Keep our files, records, and documentation accurate and up-to-date according to corporate standards. Perform periodic audits to ensure all documents are collected and filed appropriately. And yes, we're talking about electronic records only – no paper cuts here!
    5. Confidentiality Guardian: Safeguard the integrity and confidentiality of People & Culture files and records—because maintaining trust is paramount.
    6. Onboarding & Offboarding Specialist: Assist with onboarding and offboarding processes, creating relevant materials, managing inquiries, and handling conflicts with respect and compassion.
    7. Technology Enthusiast: Embrace technology as your friend, not foe. Leverage technology to streamline processes and enhance efficiency. Identify opportunities to automate repetitive tasks and scale processes for improved productivity.

    Who Would Thrive in This Role:

    We are looking for candidates with a strong blend of education and experience, particularly the following qualifications and traits:

    • Bachelor's degree preferred; Payroll Certification is a plus, or an equivalent combination of education and relevant work experience.
    • 3+ years of current/up-to-date experience in payroll administration.
    • Proven expertise/proficiency in HRIS/HRMS and payroll systems, with a strong understanding of benefits administration.

    Technology Skills:

    • Expertise in general business technology, with the ability to quickly adapt to and master new applications, including HRMS, payroll platforms, and productivity tools like Google Docs, Google Sheets, and Google Slides.
    • Very strong spreadsheet skills (you will be asked to demonstrate this).
    • Familiarity with industry compliance standards, particularly ePHI, HIPAA, and DOL requirements.
