We are seeking a highly organized, detail-oriented Project Coordinator to support multiple projects, pursuits, and operational initiatives. This role is responsible for coordinating schedules, managing project deliverables, preparing professional reports and presentations, tracking deadlines, and ensuring that no tasks fall through the cracks. The ideal candidate thrives in a fast-paced environment, can manage multiple priorities simultaneously, communicates proactively, and takes ownership of outcomes. Experience in community outreach, marketing, communications, public sector consulting, or professional services is highly desirable. This is a part-time position starting at 8:30 AM, and is hybrid (up to 3 days in the office based either in Culver City, Los Angeles, and within the County as well as when needed by clients. Responsibilities: Project Coordination • Coordinate project schedules, meetings, milestones, and deliverables. • Track project progress and follow up with team members to ensure deadlines are met. • Maintain project plans, action logs, and status reports. • Identify risks, bottlenecks, and dependencies, and escalate issues proactively. • Manage multiple projects simultaneously while maintaining attention to detail. Reporting & Document Development • Format and produce professional reports, proposals, presentations, and client deliverables. • Draft, edit, and proofread written materials, including reports, meeting summaries, correspondence, and project documentation. • Create standardized templates and document management systems. • Ensure consistency in branding, formatting, and quality control. Data Management & Analysis • Develop and maintain spreadsheets, databases, and tracking systems. • Create dashboards, pivot tables, charts, and project performance reports. • Analyze and organize project data to support decision-making. • Maintain accurate records and project documentation. Presentation & Visual Communications • Develop client-ready presentations in PowerPoint, Google Slides, and Canva. • Create visual reports, graphics, and project summaries. • Design professional materials for meetings, outreach activities, and executive presentations. Administrative & Operational Support • Coordinate calendars, schedules, meetings, and logistics. • Prepare meeting agendas, materials, and follow-up action items. • Maintain filing systems across Microsoft 365, Google Workspace, SharePoint, and cloud-based platforms. • Support process improvement initiatives and workflow management.
