    SUMMARY: The Executive Assistant to the CEO/President is responsible for providing comprehensive support to the CEO, as well as administrative support to the chair of the PW Board of Directors. This key role requires the ability to anticipate and adapt to the needs of the CEO/President (CP) and Board Chair, think critically, and communicate clearly with a high level of professionalism and confidentiality.

    PRIMARY RESPONSIBILITIES

    • Provide sophisticated calendar management for CP. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
    • Act as a liaison and provide support to the Board of Directors Chair. Arrange and handle all logistics for Board meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes on behalf of Board Secretary. Adhere to compliance with applicable rules and regulations set in bylaws regarding Board matters.
    • Complete a broad variety of administrative tasks that facilitate the CP’s ability to effectively lead the organization, including: assisting with special projects; producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists and data in the CRM database; making travel arrangements; and completing expense and mileage reports.
    • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CP, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect CP’s style and organization policy.
    • Work with the Leadership Team to coordinate the CEO/President’s outreach and fundraising support activities.  Follow up on contacts made with CP to cultivate ongoing relationships
    • Other duties as assigned

    • Thorough knowledge of correct grammar, punctuation, and spelling
    • Experience working in a CRM (Constituency Relationship Manager) database or donor management system
    • Adaptable, open to change, and comfortable with considerable variety in the workplace
    • Cross-cultural experience preferred (most of our staff and network is outside of North America)

    EDUCATION/ EXPERIENCE: College degree required. 5+ years of experience preferred

    PHYSICAL DEMANDS: The physical demands for this position are typical for a professional office environment and must be met by an employee to successfully perform the essential functions of this job.

    WORK ENVIRONMENT: The work environment characteristics described here are what you would typically expect in a professional office environment and are representative of those an employee may encounter while performing the essential functions of this job. Role is based at the Global Service Center, Grand Rapids, Michigan. 24 hours average per week and adhering to hybrid model of 2 days in office per week and 1 day or 2 ½ days working remotely.

    REPORTS TO: CEO/President HOURS: 24 hours average per week, hourly, non-exempt

    COMPENSATION: To be determined based on experience and provided in offer letter
