    SUMMARY: The Office Coordinator ensures the smooth running and care of the Global Service Center (GSC) office (Grand Rapids, MI), providing hospitality that creates a favorable brand experience for staff and visitors. This role interacts with many staff and departments at the GSC and globally. For success in this position, this person is a champion of team building, personal encouragement and rapport with individual staff members and fostering a culture of joyful service and celebration.

    PRIMARY RESPONSIBILITIES

    • Answering phone calls, transferring callers as appropriate
    • Greeting visitors, ensuring guests are comfortable and are connected with the right personnel
    • Monitoring and ordering inventory for office, kitchen and facility supplies
    • Managing incoming & outgoing correspondence, including primary organization email, mail & packages
    • Scheduling repairs and maintenance for grounds, facility and equipment
    • Arranging vendor and contractor visits, connecting with and escorting/supervising vendors
    • Office/kitchen/facility supply inventory, ordering, & coordination of vendor relationships
    • Oversee office cleanliness & environmental stewardship practices; schedule routine cleaning & maintenance
    • Supporting Global Service Center staff in various administrative activities
    • Maintain and troubleshoot copier and printers
    • Oversee facility exterior and property maintenance, repairs, and contractors
    • Assist with logistic needs for local staff events, regional events, and international summit
    • Schedule team meetings as needed, global staff meetings, and staff events
    • Coordinate and advise on visa and travel arrangements as needed for staff
    • Other duties as assigned

    • Experience in Office 365 Suite of Apps (Word, Excel, PowerPoint, Teams, SharePoint) preferred
    • Technologically inclined, resourceful, and proactive mindset
    • Attention to detail, meticulous and embraces orderliness in the workplace
    • Adaptable, open to change, and comfortable with considerable variety in the workplace
    • Cross-cultural experience preferred (most of our staff and network is outside of North America)

    EDUCATION/ EXPERIENCE: High school degree required, College degree preferred

    WORK ENVIRONMENT: The work environment characteristics described here are what you would typically expect in a professional office environment and are representative of those an employee may encounter while performing the essential functions of this job. Role is based at the Global Service Center, Grand Rapids, Michigan. 16 hours average per week, and adhering to hybrid model of 2 full days or 3 partial days in office

    REPORTS TO: Director of Marketing & Administration: 16 hours average per week, hourly, non-exempt

    COMPENSATION: To be determined based on experience and provided in offer letter
