    TITLE:

    Program Coordinator

    WHO WE ARE:

    Partners in Opportunity (PIO) is a 501(c)(3) nonprofit organization with a mission to put low-income children born into concentrated poverty on the path to college by providing their families with access to housing and supportive services in communities with high performing public schools. PIO provides families with a two year springboard of wraparound support to help them navigate the transition to their new neighborhood, build community, establish stability, and ensure that their children are equipped to succeed academically. We deliver these services through four core programs: through our Tutoring Program we provide the children in our program with intensive, one-on-one after school tutoring in math and literacy; through our Community Program we help to orient families to their new neighborhood and assist them in building a support system in the local community; and through our Mentor Program and Opportunity Coach Program we connect parents to resources to help them maintain stability and to achieve the goals that they set for themselves and their family.

    PIO works in partnership with its sister organization, The Moving to Opportunity Fund (MTO Fund), to pursue both organizations’ common mission. The MTO Fund is a social impact real estate fund that leverages private capital to acquire market rate multifamily properties in high opportunity communities with top-ranked public schools, renting a portion of the units to families with children in the PIO program.

    JOB SUMMARY:

    Partners in Opportunity is seeking a detail-oriented, dynamic, and mission-driven candidate to serve in the role of Program Coordinator. As PIO’s third full-time staff member, the Program Coordinator will work in close collaboration with PIO’s Executive Director and Director of Programs, and will have unique opportunities for growth as the organization scales. Responsibilities will include assisting with PIO new family recruiting, coordinating PIO volunteer training and onboarding, supporting the Director of Programs in administering PIO’s programs, liaising with PIO’s landlord partners, and providing administrative support for PIO and the MTO Fund. The Program Coordinator will spend approximately 85% of their time working on PIO-related duties and 15% of their time on MTO Fund-related work.

    JOB DUTIES & RESPONSIBILITIES:

    Assist with PIO new family recruiting

    • Conduct intro calls with families interested in applying for the program.
    • Coordinate and help to conduct info sessions for prospective families.
    • Monitor the status of families in the application process: request outstanding application materials, schedule interviews, and correspond with applicant families as needed.
    • Prep and/or conduct reference checks on applicant families.
    • Compile application materials for review by the selection committee.
    • Maintain and update PIO’s database of prospective families.

    Coordinate PIO volunteer training and onboarding

    • Maintain PIO’s Application and Onboarding Tracker to monitor the status of volunteers as they progress through the application and onboarding process. Keep track of key deadlines, action items, and outstanding application materials.
    • Schedule and conduct interviews for volunteer applicants.
    • Order and review background checks and prep and/or conduct reference checks on applicants.
    • Conduct volunteer trainings on volunteer roles and PIO policies and procedures.
    • Update volunteer applications, selection rubrics, and training materials as needed.

    Support the Director of Programs in administering PIO’s programs

    General

    • Support the Director of Programs by maintaining PIO’s Programs Dashboard. Help to keep track of activities across all program areas.
    • Send monthly check-in questionnaires to families, teachers, and program volunteers. Compile responses as necessary.

    Tutoring Program

    • Help to identify potential sources of volunteer tutors.
    • Conduct info sessions for prospective volunteer tutors.
    • Send periodic questionnaires to teachers to obtain student achievement data. Update PIO’s student data tracker.
    • Use student data to create Tutoring report cards.
    • Periodically conduct drop-in visits at the tutoring venue with the Director of Programs and the Executive Director.

    Community Program

    • Research daycare and pre-school options for each of the communities in which PIO is active.
    • Research summer programs and summer program scholarship opportunities for students. Compile findings into a summer programs “menu” for families.
    • Collaborate with Community Directors to compile extracurricular program menus for each community.
    • Oversee summer program and extracurricular program signups. Coordinate with families to ensure children are enrolled by key deadlines. o Support the Director of Programs in recruiting the Community Director for new sites.

    Mentor Program

    • Assist with Mentor recruitment and onboarding.
    • Interview Mentor spouses.

    Liaise with PIO’s landlord partners

    • Assist landlords in navigating their relationship with the housing authority and the requirements of the voucher program.
    • Assist landlords in signing up as a new landlord with the housing authority and in submitting Requests for Tenancy Approval (RFTAs) as families are matched to particular units.
    • Troubleshoot any issues that the landlord may have with the housing authority.

    Provide administrative support for PIO and the MTO Fund

    • Label and file receipts and invoices. Attach receipts to the corresponding expense in QuickBooks.
    • Order curriculum materials and snacks for PIO’s Tutoring Program.
    • Send donor acknowledgement letters to PIO donors.
    • Provide support with PIO’s newsletter and webpage.
    • Help to identify potential properties for acquisition by The MTO Fund, identify property owner contact information, and reach out to property owners via direct mail and e-mail.
    • Provide administrative and logistical support as needed: e.g., delivering items to the Tutoring venue, providing families with a welcome basket at move-in, picking up items at the store, etc.

    QUALIFICATIONS:

    Required

    • Highly organized and detail-oriented

    • Strong writing skills

    • A proactive self-starter

    • Personality, maturity, and presence to represent the program effectively in interactions with participant families, current and prospective volunteers, and external partners (partner organizations, school staff, community leaders)

    • Mission alignment: visceral excitement about helping low-income families to put their children on the path to college

    • Digitally savvy: highly proficient with Microsoft Office programs (Word, PowerPoint, and Excel), and able to readily master new software

    • 4-year Bachelor’s degree

    • Preferred

    • Experience working with low-income families

    • Basic graphic design skills

    WORKING CONDITIONS:

    • Full-time, salaried position
    • Salary: $50,000
    • Healthcare stipend: $5,000
