    ROLE SUMMARY

    Reporting to the CEO, the Chief Operations and People Officer will oversee Human Resources, Operations, Finance and IT at PAI. With a clear commitment to diversity, equity and inclusion, this executive leadership role will have responsibility for managing all people and administrative matters including PAI's legal affairs and contracts, human resources, compliance, operations and risk management, performance monitoring and planning.

    The Chief Operations and People Officer will work closely with the CEO, the EA and Deputy Secretary to the Board, and the advisory Chief Financial Officer to be accountable to the Board and its Committees and support good governance practices across the organization. Managing a current team of four people, the operations, human resources, and CRM personnel will report directly to this Executive role.

    WHAT YOUR RESPONSIBILITIES WILL BE:

    People and Operations

    • Develop PAI's comprehensive People Strategy to ensure that the PAI Team is equipped with effective and clear Human Resources support as well as leadership and professional development opportunities.
    • Serve as a champion for diversity, equity and inclusion, ensuring that an organization-wide DEI agenda and action plan is in place and implemented.
    • Develop strategies and initiatives to improve employee engagement and experience, fostering a dynamic and collaborative company culture
    • Adhere to Management Best Practice standards by providing hands-on leadership, guidance, mentorship and performance management to direct reports and Operations team members.
    • Ensure that the people who support the finance, IT, HR, CRM, legal and governance structures of the organization are aligned to support the whole organization in functioning optimally.

    Compliance and Governance

    • Establish a clear legal, compliance and risk management system with transparent reporting and accountability.
    • Work with the advisory Chief Financial Officer to coordinate the organization's financial and tax reporting activities including the relationship with the audit firm for annual audit/income tax activities and all related matters.
    • Work with the EA and Deputy Secretary to the Board, to manage the administration of the governance of the organization, including the governance calendar, board committee administration and coordination of timely and accurate reporting to the Board.
    • Assess current third party agreements and contracts and ensure they are appropriate, effective and scalable.
    • Develop appropriate internal controls for the benefit of all stakeholders and the more efficient operation of the business.

    Finances and Planning

    • Work with the advisory Chief Finance Officer, to prepare and present monthly and annual financial plans and budgets, and manage the financial controls and accounting procedures to comply with best practices and legal requirements.
    • Work with the Chief Strategy Officer, Philanthropy and Partnerships to manage the collection and reporting of charitable contributions from partner organizations and support her strategy to diversify PAI's funding sources.
    • Oversee the allocation of resources in alignment with PAI's theory of change in support of our mission and vision, including annual, operational planning, budgeting and forecasting, performance measurement and analysis.
    • Leverage a detailed understanding of ‘what's driving the numbers' to act as a key strategic and operational contributor to the overall growth of the organization.
    • Put measurements and reporting dashboards into place enabling real time assessment of performance and forecasting for future opportunities.

    PREFERRED QUALIFICATIONS

    • A graduate degree in a relevant field (e.g. legal) and/or 15+ years of relevant experience with a minimum of 10 years leading the human resource and compliance activities of a 30+ person, international, non profit organization.
    • Accreditation and/or certification as an HR and legal professional.
    • A proven track record of significant senior leadership experience managing a portfolio of administrative functions including nonprofit governance, IT, HR, legal, and facilities.
    • Proven experience supporting the administration of an accountable and transparent governance structure and calendar for a non-profit organization.
    • Significant risk management experience including managing an administrative team to implement clear and accountable contracting processes, legal agreements, partnership memoranda and other documentation.
    • Experience working with a Board of Directors.
    • An ability to drill down and understand what drives the business; establish relevant KPIs and metrics that will improve forward looking decision making and predictability for the business.
    • A demonstrable ability to contribute and engage in a strategic and meaningful way as an organizational leader and partner to the CEO.

    PAI is headquartered in San Francisco yet has a remote workforce with a global membership base and scope. This role is eligible for remote work within Canada and the United States with no requirement to be located in San Francisco. We do not offer visa support for this position at this time.
