    Pathways is seeking an innovative and purpose driven individual to join our team as a Office Assistant for our CalWORKS program.

    Program: CalWORKs helps participants remove Mental Health and/or substance abuse “barriers” to employment to aid the progress of moving from welfare to active participation in employment activities. CCS-CalWORKs has been providing these much needed Mental Health and substance abuse services to CalWORKs recipients for the past 16 years. Clinics in Anaheim, Santa Ana and Westminster offer services to Orange County residents at multiple locations. Participants must be California Welfare recipients with Mental Health and/or substance abuse issues and enrolled in CalWORKs or Cal-Learn programs. CCS-CalWORKs provides Evaluation & Assessment Services, Individual & Group Therapy, Crisis Intervention, Case Management, Family Support & Education and Referrals to Community Resources. CCS-CW Evidenced Based Practice (EBP) Services offered: EMDR, Seeking Safety and Active Parenting.”

    Summary

    The Office Manager will be responsible for managing, leading and coordinating the office staff and administrative services at their site. They will ensure that billing is completed and deadlines are met. This includes running reports, verifying eligibility for clients, and preparing invoices for payment. The Office Manager will be required to drive operational goals and general office administration services This position is essential to delivering quality care and creating success in our centers and therefore an understanding of the program services is a must.

    Essential Functions

    Office Manager I/II

    Practices Pathways core values through all interactions with clients, management, peers and direct reports to build a collaborative and inclusive environment driven around compassion and integrity.

    Oversees and assists with County Billing Duties to include but not exclusively:

    Running reports and data entry

    Completing Eligibility checks with various payers

    Compiling and completing reconciliation and variance reports monthly

    Third-party Billing

    Compile and complete final variance cost report annually

    Assists with new hire set-up and training for the office or program.

    Attends UR and county/state and other agency meetings as required.

    Participates in program staff and planning meetings as required and may take minutes for such meetings.

    Retrieves, organizes, and creates financial and tracking reports for items such as employee and program expenses, petty cash, and reconciling of invoices / client invoicing for guidance of management.

    Responsible for assignment of duties, approval of expenses and time cards, performance management and personnel actions, and serving as resource for clerical/administrative staff.

    Evaluates office production, revises procedures, or devises new forms to improve efficiency or work flow.

    Formulates and audits procedures for systematic retention, protection, retrieval, transfer and disposal of records.

    Maintains and protects confidentiality and security of all organizational and client information by following company policies and HIPAA regulations.

    Other duties as assigned or necessary to support the program and/or company.

    Education/Licensing Requirements

    Office Manager I/II

    · Associate’s or Bachelor’s degree preferred. Extensive office management experience may be considered equivalent to education.

    · Proof of valid California driver’s license, auto insurance, and education are required.

    · Prior behavioral health experience preferred.

    Knowledge, Skills and Experience

    Office Manager I

    · Minimum of two year’s office management experience in a behavioral health office setting or related field with the following skills:

    o Management of staff to ensure timelines are met in regards to county billing.

    o Excellent computer knowledge, data entry skills and strong organizational skills.

    o Demonstrated ability to communicate effectively with peers, direct reports and clients.

    o Excellent computer knowledge, data entry skills and strong organizational skills.

    o Excellent leadership, interpersonal and customer service skills required.

    o Intermediate/Advanced PC skills required

    o Ability to effectively prioritize and manage time while also ensuring the success of direct reports.

    o Accounting experience with the ability to reconcile reporting and report on county billing.

    Office Manager II

    · Five year’s office management experience in a behavioral health office setting or related field with the following skills:

    o Management of staff to ensure timelines are met in regards to county billing.

    o Excellent computer knowledge, data entry skills and strong organizational skills.

    o Demonstrated ability to communicate effectively with peers, direct reports and clients.

    o Excellent computer knowledge, data entry skills and strong organizational skills.

    o Excellent leadership, interpersonal and customer service skills required.

    o Intermediate/Advanced PC skills required

    o Ability to effectively prioritize and manage time while also ensuring the success of direct reports.

    o Accounting experience with the ability to reconcile reporting and report on county billing.

    Physical Requirements

    · Office Environment (not remote position). Requires extensive sitting with periodic standing and walking.

    · May be required to lift and/or move up to 20 pounds.

    · Requires significant use of computer, tablet, phone and/or general office equipment.

    · Needs adequate visual acuity, ability to grasp and handle objects.

    · Needs ability to communicate effectively through reading, writing, and speaking in person or on telephone.
