Pathways is seeking an innovative and purpose driven individual to join our team as a Full-Time Billing Administrator for our billing operations in Kern County.
Remote position but must live in Kern County, CA*
SUMMARY
The Billing Administrator oversees and is responsible for ensuring billing operations in the region are followed, conducts monthly billing audits, reviews billing services for clients by using an Electronic Health Record, prepares billing reports, transmits claims and researches billing errors..
ESSENTIAL DUTIES/RESPONSIBILITIES
Admits new clients to the State and/or County data entry system in accordance with contract standards
Ensures all charges for every client receiving services is entered properly
Records and files billing documentation
Conducts monthly billing audits and submits results to the Billing Manager, Regional and Program Directors
Provides clinical staff with feedback regarding inappropriate or inaccurate completion of billing forms and documentation
Provides training to all staff in region on appropriate billing procedures
Provides support to all administrative staff on billing processes
Maintains and updates training Guidelines, and ensures their efficiencies
Facilitates monthly billing trainings and/or meetings
Acts as a liaison between County and programs concerning any billing discrepancies and errors
Informs supervisor of any on-going concerns with billing
Maintains and ensures HIPAA, ethical standards and professional boundaries with all staff and clients
Accesses State and/or County systems for monthly financial reports as requested by Billing Manager, Regional Director and/or the Finance Department
Responds to requests for information related to revenue cycle, processes, policies, and/or other related information
Researches billing discrepancies; resolves any problems
Researches, reviews, and adheres to all federal, state, and local regulatory billing and collection guidelines, as well as payer specific guidelines; assists in clarifying language interpretations and compliance terms
May act as a back-up for administrative staff in region
May manage psychiatric provider calendars and/or schedules for the region
May code and process psychiatric provider invoices for the region
Investigates claimed data to identify and correct payment errors
Reviews remittance codes from EOB’s to ensure appropriate payment; identifies denials or non-payment
Ensures supplies, equipment and materials needed for billing process are in stock
Other duties as assigned or necessary to support your department and/or the company
DO THE FOLLOWING APPLY TO YOU?
Bachelor’s degree in business administration or an Associate’s degree and equivalent experience in billing government agencies for medical services
Proof of: valid CA driver’s license, valid auto insurance coverage as well as proof of education are required.
Prior behavioral health experience preferred
ABOUT YOUR ROLE
Two years-experience in a position with responsibility for billing Medi-Cal services to government agencies
Strong data entry, billing reporting and detail orientation required
Must have leadership skills/experience and the ability to direct and train professionals at peer and senior levels
Must have the ability to lead and direct the work of others
Excellent prioritization and organization skills, strong interpersonal skills and excellent written and verbal communication skills
Intermediate level PC skills required
Effectively use the Electronic Health Record system
Ability to work flexible schedule to meet the needs to the Program
PHYSICAL REQUIREMENTS
Remote position. Requires extensive sitting with periodic standing and walking
May be required to lift and/or move up to 20 pounds
Requires significant use of computer, tablet, phone and/or general office equipment
Needs adequate visual acuity, ability to grasp and handle objects
Needs ability to communicate effectively through reading, writing, and speaking in person or on telephone
Ability to work from home, and will require off-site travel 20% (local and out of state) – meetings trainings, county and/or client needs
Will use personal car or vehicle as required for travel and/or transportation
Will travel for meetings, trainings, etc., as needed
Decision Making Responsibilities
Determines how to resolve billing policy and procedure problems either by working directly or unilaterally, to solve the problem or by engaging the Billing Manager, appropriate Program Director, the Regional Director or a member of senior management in the resolution process
Proactively access and implement practices to prevent any concerns of fraud and immediately inform the Billing Manager and Regional Director of any concerns with billing findings.
