    Pathways is seeking an innovative and purpose driven individual to join our team as a Operations Manager for our Wellness Program in the city of Orange.

    The Wellness program (WCC) is a nationally recognized program that offers an array of groups, classes and resources to increase the wellness of the Orange County Community through four key areas: physical, emotional, spiritual and social/community. WCC is an entirely peer-run program with each member of the staff having “lived experience” with their own recovery. Members of the Center must be 18 years or older, reside in Orange County and are seeking mental health services now or in the past. WCC offers approximately 80 groups a week such as Arts and Crafts, Yoga, Positive Thinking, Depression and Bipolar support Alliance (DBSA), Alcoholic Anonymous (AA), Social Hour, community integration groups, bowling, nature hikes, walk-about trips to museums, gardens, etc. a week.

    Summary

    Responsible for overall, day-to-day operations of program including management of support staff and services provided as required by county contract.

    Essential Duties/Responsibilities

    Oversees all aspects of administrative operations of program

    Communicating and coordinating of services and program needs with each program staff as appropriate as well as other internal departments as needed

    Determining the structure of the workflow within the program

    Responsible for purchase, expense requisitions, and budget spending as required by program

    Responsible for delivery of purchase requests, mileage forms, human resources information forms and other additional paperwork to appropriated staff as needed

    Responsible for upgrading and maintaining computer software and operations as needed

    Review required forms that are to be submitted to HR for hiring, training and employee benefits

    Researched and promotes staff development and training opportunities monthly

    Oversees and coordinates time sheets, paychecks, and reimbursement delivery in compliance with policies and procedures

    Responsible for compiling monthly and quarterly statistics and other reports as required by program

    Other duties as assigned or necessary to support your department/program, office and/or the company

    Level of Supervision Given

    Gives direct supervision to office support staff

    Responsible for oversight of daily operations of program, reviewing file documentation, purchasing of program and office supplies, scheduling and maintaining software upgrades, coordinating staff training and seminars and delivery of payroll/time sheet documentation to corporate office staff

    Works under direct supervision of Program Director and from a variety of established procedures to accomplish work and receives general verbal and written instructions.

    Educational/Licensing Requirements-Education or Equivalent Experience

    High school diploma or general education degree (GED) required with computer or business coursesBachelor’s degree preferred but not requiredConsumer of Mental Health Services; Persons with a history of being consumers of mental health service or individuals with lived experience (i.e. living with a relative, significant other, or other support person who is a consumer of mental health services)

    At least 2-3 year of experience proving an ability to work under minimal supervision, select from a variety of established procedures and rely on experience and judgment to accomplish assignments in a timely manner. Ability to make appropriate business decisions regarding budgets, expenses and delivery of services.

    Certificates, Licenses, Registrations

    Proof of: valid California driver’s license and auto insurance, as well as proof of education are required

    Knowledge, Skills and Experience

    Ability to lead and direct the work of others

    Proficient with excel, power point, word, data entry

    Excellent prioritization and organization skills, strong interpersonal skills and excellent written and verbal communication skills

    Ability to work flexible schedule to meet the needs to the Program

    Ability to effectively prioritize and manage time

    Business Contacts Internal

    Communicates and coordinates services with other departments to include accounting/payroll, finance, human resources and QI Director,

    External Interacts with county supervising officers, contract administrators, collaborative agencies and outside supplies vendors

    Physical Requirements

    Office Environment (not remote position). Requires extensive sitting with periodic standing and walking;

    May be required to lift up to 20 pounds

    Requires significant use of computer, tablet, phone and/or general office equipment

    Needs adequate visual acuity, ability to grasp and handle objects

    Needs ability to communicate effectively through reading, writing, and speaking in person or on telephone

    Will require off-site travel 20% - local (use of personal vehicle required) and out of state (meeting, county and/or client needs)

    Decision Making Responsibilities

    Must be able to promote positive interpersonal relations with staff, clients, County Department staff, collaborative community agencies and school personnel
