Pathways is looking for a full-time Human Recourse Coordinator to assist with Volunteer Intern credentialing for our Los Alamitos location.
Summary
HR Coordinator will assist with volunteer/intern & credentialing and will be responsible to recruit, screen, train, and provide support and supervision to volunteer mentors, interns and credentialing support to 35 office/programs and leadership in CA. Responsible for all aspects of each Volunteer/Intern assignment and credentialing process from beginning to end.
Essential Duties/Responsibilities
Recruit, lead and attend local schools’ and universities’ career fairs and campus events to recruit interns and volunteers for a variety of positions
Oversees and provides dotted-line supervision to intern and/or volunteers
Maintains, tracks and administer records, systems, and reports for all intern and/or volunteers
Provides expertise to recruit and train both intern and/or volunteer coordinators and volunteer mentors
Develops and maintains a successful recruitment plan and process for sourcing potential interns/volunteers, including the development of all required written communications for the program
Develops and delivers a monthly orientation, supervision, meeting and on-going training as necessary
Responsible for screening, interviewing interns and volunteers for acceptance to attend training
Update and maintain an extensive initial training program and coordinates at least once every quarter
Creates and provides multiple advanced training sessions annually and as required/requested
Assists clinical staff with an extensive final interview process for all prospective mentors and conducts a thorough reference check on each in accordance with the Intern / Volunteer Policies and Procedures and the school’s requirements
Works with clients’ therapists to determine appropriate mentor matches and possible future employment
May plan and attend monthly recreational events for mentors, clients and therapists
May be responsible for mentor recognition program including annual mentor recognition event
Review or evaluation of Intern’s/Volunteer’s progress in learning in connection to their school’s agreements/ contract by collaborating with programs and/or the community
Processes and coordinates intern/mentor/volunteer resignations/terminations to include exit interviews with intern/volunteer/mentor, the program, and the school per the school requirements
Semi-annually ensures reviews of intern/volunteer/mentor charts to ensure compliance with payer audit requirements
Prepares monthly statistics, reports and outcomes for the intern/volunteer/mentor program
Acts as a member to various committees to continually ensure compliance, retention and process/improvement
May develop volunteer policies and procedures for mentor, intern/volunteer program under the guidance and supervision of the Director
Credentialing Responsibilities with Human Resources
Collaboratively working with management, programs and regions to ensure contract requirements are tracked, up to date, and proactively following up to ensure compliance
Partner with HR if there are any credentialing concerns to be reviewed and researched for resolution
Provide new candidates credentialing packets and ensure they qualify prior to onboarding
Acts as the liaison with the program and payer to provide clarification of the Credentialing Process and components of credentialing program – to ensure continued contract compliance and internal;/external audits
Ensures that the credentialing and re-credentialing process is conducted in a manner that is non-discriminatory
Ensures that the credentialing verification process does not exceed the contracts of each program and/or region
Ensures that practitioners’ re-credentialing meets the position’s licensures deadlines
Meets industry standards for credentialing
Complies with federal and state requirements
Ensures the confidentiality of all applications received
Ensures that all practitioners providing care or direct services to clients under contract are credentialed
May act and participate within a credentialing committee to administer and support as necessary
Other duties as assigned or necessary to support the program and/or the company
Level of Supervision
Given - Ensure the program supervisors are trained and knowledgeable in providing supervision, guidance, and support to volunteers and/or interns – tied to contract and/or school agreement(s).
Received - Works under minimal supervision and selects from a variety of established procedures and relies on experience and judgement to accomplish work.
Education and/or Experience
One years of experience working in a fast pace / office working environment
Associate and/or Bachelors Degree in Administration or Business from an accredited college or university a plus, not required
Certificates, Licenses, Registrations
Proof of: valid California driver’s license and auto insurance, as well as proof of education are required
Bilingual-Spanish/English a plus, not required
Knowledge, Skills and Experience
Excellent prioritization and organization skills a must
Strong interpersonal skills; excellent written and verbal communication skills
Intermediate level PC skills required
Effective use of MicroSoft Office Applications (Word, Excel, Access PowerPoint); Internet Savvy
Ability to work flexible schedule to meet the needs of the State
Physical Requirements
While performing the duties of this job, the employee is frequently required to stand; walk and sit. The employee must occasionally lift and/or move up to 25 pounds.
Will travel up to 20% of the time (e.g. off-site meetings, career fairs, campus recruiting)
