Job Description: Patient Concierge
Position: Patient Concierge Location: Energy4Life Centers - Park City, UT Reports to: Chief Revenue Officer & Director of Operations Employment Type: Full-Time

Job Summary: The Patient Concierge will be the primary point of contact for patients regarding their detect kits and related inquiries. This role involves managing the distribution, tracking, & follow-up of detect kits, ensuring seamless communication between patients, healthcare providers and the office patient fulfillment team, while enhancing the overall patient experience at our wellness center.
Key Responsibilities:
Detect Kit Management:
Take ownership and accountability of the patient experience from our Sales team once payment has been taken. This includes entering patient info from tracking documents into Cerbo, then tasking the appropriate teams on next actions for patients and providers
Coordinate the distribution, test execution/comms and collection of detect kits to and from patients
Maintain accurate records of detect kit inventories and patient information
Ensure timely delivery and return of detect kits to and from the lab
Optimize lab results delivery back to E4L and improve time to review of findings with patient and providers
Patient Follow Through:
Serve as the primary point of contact for patients regarding detect kit instructions, usage, and results
Proactively follow up with patients to ensure they complete their detect kits as instructed
Ensure Communication of test results to patients in a timely and confidential manner
Customer Service:
Provide exceptional customer service by addressing patient inquiries and concerns promptly and professionally
Assist patients in scheduling follow-up appointments and consultations based on test results
Maintain a compassionate and patient-focused approach in all interactions
Coordination and Communication:
Liaise with healthcare providers to ensure test results are reviewed and communicated effectively
Collaborate with administrative staff to streamline processes and enhance patient satisfaction
Ensure all patient interactions and data management comply with HIPAA regulations and other relevant guidelines
Liaise with all providers of coaching program to make sure schedule is adhered to and clients clients are well served
Team Leadership and Supervision:
Lead and supervise the concierge assistants, providing guidance and support to ensure high-quality patient care
Conduct regular team meetings to discuss goals, share updates, and address any issues or challenges
Performance Management:
Set performance goals and develop improvement plans for underperforming team members
Program Development and Implementation:
Continuously assess and refine programs to ensure they are effective and up-to-date with the latest research and trends
Patient Experience and Satisfaction:
Address patient concerns and feedback promptly to maintain high levels of satisfaction and trust
Collaboration with Healthcare Practitioners:
Foster strong collaboration between healthcare practitioners, Center support team and leadership to provide a cohesive patient care experience
Ensure effective communication and information sharing with the broader healthcare team
Administrative and Operational Oversight:
Oversee scheduling, resource allocation, and other operational aspects
Maintain accurate records and documentation, ensuring compliance with healthcare regulations and center policies
Quality Assurance and Improvement:
Develop and implement quality assurance processes to monitor and improve effectiveness
Conduct regular audits and assessments to identify areas for improvement and implement necessary changes
Continuous Professional Development:
Encourage and support the continuous professional development through training, workshops, and conferences
Stay updated on industry trends, best practices, and new developments in holistic health and coaching
Technical Support for Virtual Sessions:
Provide technical support to patients by setting up and conducting Zoom video and live sessions
Troubleshoot any technical issues that arise during virtual sessions to ensure smooth delivery of services
Qualifications:
Strong leadership and management skills
Previous experience in a healthcare setting, particularly in patient coordination or customer service roles
Ability to motivate and inspire a team
Problem-solving, conflict-resolution & technical troubleshooting skills
Adaptability and a proactive approach to challenges
Previous experience in health coaching or a related field preferred
Certification in health coaching or a related discipline is a plus
In-depth knowledge of holistic health principles
Excellent communication and interpersonal skills
Proficiency in using Zoom and other virtual meeting platforms
Strong organizational skills and attention to detail
Proficiency in using electronic health records (EHR) and other healthcare management software.
A compassionate and empathetic approach to patient care
Proficiency with Scheduling
High school diploma or equivalent; associate or bachelor's degree in healthcare administration or a related field preferred
