    Patient Coordinator / Front Office Manager

    The Maas Clinic & Appearance Care Center

    The Maas Clinic is seeking a high-energy, professional Patient Coordinator / Front Office Manager to join our internationally recognized Facial Plastic Surgery and Medical Spa. This is a dual-focus role requiring strong sales ability, exceptional multitasking, and a polished, welcoming demeanor. You will serve as the primary point of contact for our patients and the operational lead for our front office.

    Key Responsibilities

    1. Patient Coordination & Sales

    Educate patients on surgical and MedSpa procedures to drive booking and revenue goals.

    Manage the patient journey from initial inquiry through post-operative follow-up.

    Capture clinical photography for pre-op and post-op documentation.

    1. Front Office Operations

    Manage office "triage," tracking patient, doctor, and medical assistant flow in real-time.

    Handle high-volume, multi-line phone systems and complex appointment scheduling.

    Oversee opening/closing duties, chart preparation, and payment collection.

    1. Administrative & Facility Management

    Maintain inventory for skincare products, medical supplies, and office essentials.

    Ensure all patient rooms and common areas are clean and professional.

    Coordinate speaking engagements, research studies, and clinical teaching appointments for surgeons.

    1. Marketing & Communication

    Coordinate with the social media team for filming and content posting.

    Maintain direct lines of communication with the Operations Manager and Spa Director regarding patient care.

    Qualifications

    Experience: Previous background in an aesthetic medical practice or MedSpa is required.

    Sales: Proven ability to meet revenue targets and close consultations.

    Skills: Strong computer, phone, and social media proficiency.

    Attributes: High-level multitasking skills and a consistently positive, professional appearance.

    Availability: Must be available for evening shifts and alternating weekends.
