    Role Overview

    As a Patient Experience Specialist, you are the voice and heart of Peak Dental. You’ll craft seamless, high-touch experiences for our patients by managing communication with genuine care, handling challenges with grace, and ensuring our brand presence shines both inside the office and across social media.

    You’ll be on the front lines of communication: answering calls, managing Weave messages, coordinating patient follow-ups, and curating content that captures our mission to elevate lives, one smile at a time.

    Key Responsibilities

    Patient Relations & Communication

    Deliver a “Ritz Carlton” level of service — warm, polished, and memorable

    Answer phones, texts, and emails promptly with professionalism and heart

    Handle patient concerns or complaints with empathy and composure, turning issues into trust-building moments

    Monitor website, social media platforms and the practice’s patient communication software throughout the day to ensure no message goes unanswered

    Follow up on treatment plans, benefits, and balances with clarity and tact

    Assist in patient checkout and coordinate follow-up visits seamlessly

    Brand & Social Media Engagement

    Create, schedule, and manage social media content that reflects our mission and values

    Curate patient stories, office updates, and community highlights for online engagement

    Assist with sending personalized gifts or notes to patients and community partners

    Uphold consistent brand voice and tone across all digital channels

    Administrative & Financial Support

    Call insurance carriers on outstanding claims

    Follow up with patient in regards to outstanding balances

    Contact patients to follow up on insurance benefits

    Qualifications

    2+ years of experience in patient service, hospitality, or client relations (dental or medical preferred)

    Exceptional communication and active-listening skills — written and verbal

    High emotional intelligence and professionalism under pressure

    Confident in social media platforms (Instagram, Facebook, TikTok, etc.)

    Detail-oriented, organized, and proactive in managing multiple priorities

    Tech-savvy and comfortable learning new systems (Weave, Paragon, Open Dental)

    Humble, curious, and eager to learn about dentistry and patient care

    Able to maintain confidentiality and discretion at all times

    Insurance and balance follow-ups are accurate and up-to-date

    Communication & Collaboration

    Partner daily with the front desk and clinical teams to ensure a cohesive patient flow

    Communicate clearly with the Office Manager about priorities and performance metrics

    Contribute ideas that improve patient experience, communication efficiency, and brand reach
