Job Summary
The Patient Referral Specialist serves as a critical first point of contact for patients referred to Southwest Sport & Spine and FYZICAL clinics. This role is responsible for managing the referral intake process from initial receipt through successful scheduling, ensuring a seamless, professional, and patient‑centered experience. The Patient Referral Specialist supports timely access to care by accurately collecting patient information, coordinating provider assignments, verifying insurance details, and communicating financial responsibilities in alignment with organizational standards, compliance requirements, and FYZICAL service excellence expectations.
Essential Duties and Responsibilities
Referral Intake & Coordination
Initiate, process, and manage third‑party and internal referrals in coordination with providers, clinical teams, and clinic leadership to support appropriate treatment planning.
Serve as a liaison between referral sources, marketing teams, and clinic staff to ensure a smooth transition from referral generation to patient intake.
Maintain accurate tracking of referral status to support timely scheduling and follow‑up.
Patient Registration & Scheduling
Collect, verify, and document complete patient demographic and insurance information prior to the initial visit.
Assign providers and schedule new patient appointments in accordance with clinic protocols, provider availability, and patient needs.
Maintain accurate and up‑to‑date patient records within the electronic health record (EHR) system.
Financial Communication & Patient Experience
Clearly and professionally communicate insurance coverage, authorization requirements, and financial responsibilities to patients prior to their initial visit.
Deliver a consistent, high‑quality patient experience that reflects Southwest Sport & Spine and FYZICAL service standards.
Address patient questions and concerns with professionalism, empathy, and accountability.
Systems, Documentation & Collaboration
Manage clinic scheduling platforms and EHR systems daily to ensure accuracy, compliance, and operational efficiency.
Partner effectively with marketing, clinical, and administrative teams to support referral growth and patient access initiatives.
Maintain organized, accurate records and adhere to documentation standards at all times.
Qualifications
Minimum 2–3 years of experience in healthcare admissions, referrals, or patient access.
Customer service or patient support experience required.
Strong organizational skills with attention to detail and accuracy.
Ability to prioritize tasks, manage multiple workflows, and perform effectively in a high‑volume environment.
Excellent verbal and written communication skills in English and Spanish.
Ability to work independently and collaboratively across departments.
Professional demeanor with a commitment to courteous, ethical, and respectful conduct.
Strong work ethic, reliability, and accountability.
Experience with electronic health record (EHR) systems preferred.
Strong record‑keeping and basic math skills.
Ability to maintain confidentiality and exercise sound judgment with minimal supervision.
Physical Requirements
Ability to sit for extended periods of time while working at a computer or desk.
Occasional standing, walking, bending, and reaching.
Ability to lift and carry office supplies or equipment up to 25 pounds.
Manual dexterity to operate standard office equipment such as computers, phones, copiers, and printers.
Ability to read and prepare documents and reports.
Comprehensive communication skills both in person and digitally.
