Estela Mental Health and Reproductive Psychiatry is a growing outpatient psychiatry practice in Austin dedicated to providing thoughtful, evidence-based care for across the reproductive life span including fertility, pregnancy, postpartum, and hormonal transitions. As a newer, clinician-led practice, we are intentionally building a culture grounded in collaboration, clinical excellence, and sustainability.
Job Summary:
The Patient Services Coordinator is responsible for handling front office reception and administration duties, including greeting and checking in guests, answering phones, scheduling appointments, and checking and responding to emails. You will be the “face” of the practice for all visitors and will be responsible for the first impression we make. The ideal candidate will have a friendly and easy-going personality while also being very perceptive and disciplined. You should be able to deal with complaints and give accurate information. A customer-oriented approach is essential. The goal is to make patients feel comfortable and valued while in our care.
Key Responsibilities:
- Check in patients and notify practitioners
- Answer phones and handle any questions in a professional, respectful manner
- Verify insurance benefits and confirm patient cost for appointments
- Schedule both new and returning patients with appropriate provider
- Take payment for services and apply payments to the patients account
- Provide professional customer service to clients
- Communicate with clients in a manner that is rapport-building and sensitive
- Open and send faxes and emails
- Diligently coordinates and communicates details with both clients and all providers
- Represent the practice as clients’ first point of contact
- Assists with other administrative tasks as needed
- Responds to new client inquiries that come in via phone, email, or the website in an efficient and timely manner
Qualifications:
- Experience working in a customer service environment
- Exceptional people skills and a positive attitude
- Excellent written and verbal communication skills
- Comfort with fast-paced environment
- Proficiency in English (oral and written)
- Proficiency in Spanish Preferred
