Patients Documentation Specialist For The Dental Specialty Center
The Dental Specialty Center is seeking a detail-oriented and organized Patients Documentation Specialist to manage and maintain accurate patient records, ensure documentation compliance, and support seamless communication between clinical and administrative teams. This role is crucial in maintaining the integrity, confidentiality, and accessibility of patient information in alignment with HIPAA regulations and our commitment to high-quality patient care.
Accurately collect, review, and input patient data into electronic health records (EHR) systems.
Ensure completeness and compliance of all documentation in accordance with dental and medical standards.
Organize, update, and retrieve patient records for use by dental specialists and administrative staff.
Coordinate with front desk, insurance, and clinical teams to resolve discrepancies or missing documentation.
Scan and file patient consent forms, referral letters, imaging, and other supporting documents.
Monitor records for accuracy, timeliness, and regulatory compliance (e.g., HIPAA).
Assist in preparing documentation for audits, referrals, and insurance claims.
Educate staff on documentation protocols and HIPAA best practices as needed.
Provide excellent internal customer service to staff and support team efficiency.
Perform other administrative duties related to patient recordkeeping and office operations.
High school diploma or equivalent required; Associate’s degree or higher in Health Information Management, Medical Office Administration, or a related field preferred.
Previous experience in a dental or medical office setting strongly preferred.
Proficient in EHR systems (e.g., Dentrix, Eaglesoft, Open Dental) and Microsoft Office Suite.
Strong understanding of HIPAA and patient confidentiality standards.
Excellent communication and organizational skills.
Ability to work independently and collaboratively in a fast-paced environment.
