SUPPORT STAFF - CONFIDENTIAL SECRETARY - PATTONVILLE HUMAN RESOURCES CENTER
POSITION SUMMARY:
- The Confidential Secretary will provide secretarial support for various district human resources functions.
PAY CLASSIFICATION:
- Position Code 100
- $16.26/hr - $18.29/hr (internal candidates)
- $16.26/hr - $27.10/hr (external candidates)
WORKING HOURS/CONDITIONS:
- 12 month/260 days position
- Typical position hours will be from 8:00 a.m. to 4:30 p.m.
- The position is not eligible for membership in the Pattonville Education Support Professionals Association (PESP)
GENERAL POSITION DUTIES
- Develop and assemble a variety of correspondence
- Answer incoming telephone calls, determine the purpose of the call and provide information directly or refer call to proper person or office
- Must be familiar with the district and department policies/procedures
POSITION DUTIES SPECIFIC TO HUMAN RESOURCES
- Application processing (identifying and scheduling applicants using the online application system)
- Scheduling interviews (setting up interviewers and working with applicants throughout the application process)
- Posting of positions locally at universities, trade schools, job boards and on social media
- Update and maintain human resources webpage with relevant content and information
- Management of candidate files and interview data
- Confidential processing of new employees (implement record checks and initial file set up)
- Confidential processing of worker compensation related injuries
- Confidential processing of unemployment claims
- Initiation of online employee paperwork processing (change of status forms)
- Coordination and scheduling of college recruitment trips and visits
- Update and maintain Learing Center Emergency Contact List
- Create, distribute, and track annual Extra Compensation Forms
- Coordination and completion of Loan Forgiveness Forms
- Entry of various data into spreadsheets, etc.
- Confidential processing/monitoring of monthly drug screening for the transportation department
- Maintain and coordinate annual FMCSA forms and checks
- Confidential processing of sensitive employee-related information:
- Annual physicals
- Employee record checks
- Reimbursements
- Development of board agenda personnel items and reports
- Eletronic filling of employment records
- Other duties as assigned
DESIRED QUALIFICATIONS:
- Excellent communication skills
- Must be able to work with district employees and members of the school community in a diplomatic, friendly, and efficient manner
- Ability to edit routine correspondence for spelling and grammar errors
- Experience with Windows and Google platforms
- Use of Microsoft Office and Google software with an emphasis on Microsoft Excel, Google Sheets, Microsoft Word, and Google Docs
- Some experience with BusinessPLUS financial and/or human resources/payroll package a plus
- Knowledge of office practices and procedures
- High school diploma supplemented by minimum one-year secretarial experience

- Any equivalent combination of education and experience
ORGANIZATIONAL RELATIONSHIPS:
- Reports to the Assistant Superintendent and Director of Human Resources
