What does the Office Manager do at Paul Davis Restoration? Manages all phases of job costing, accounting, computer and financial records, and oversees the administrative and HR functions in the office.

Job Responsibilities:
• Uses independent judgment and discretion in the issuance or rejection of purchase orders. • Exercises discretion and communicates with GM in prioritizing payables for payment.
• Manages and maintains detailed files for the owner/general manager and associates.
• Prepares special cost reports statements and analysis of costs via Quickbooks Online
• Reviews computer variance reports, verifies that job costs and production costs were appropriately applied. • Research excessive variances and make corrections or directs other employees to do so.
• Plans the work priorities and oversees all administrative functions of the office.
• Maintains and reconciles all accounting and prepares bank deposits Via Quickbooks Online.
• Process payroll biweekly through PAYCHEX software.
• Prepares all correspondence from the owner/general manager, associates and composes letters as needed.
• Reports monthly sales to the Owner and research questions as needed.
• Reviews incoming mail and escalates as needed.
• Updates all insurance info and background checks for insurance companies and TPA's.
• Maintains good customer relations to detect and resolve issues and concerns.
• Participate in the escalated collections process.
Job Requirements & Qualifications: • Must have a minimum of 3 years Quickbooks online experience, • Must have at least 3 years of general HR experience-onboarding, corrective actions and termination of employees • Must have a minimum of 1 year of Paychex payroll experience and direct experience with escalated collections • Provide excellent customer service and positive working relationships
