    Job Description

    SUMMARY:  This position is a dual role. The Customer Service Representative initiates, coordinates, and executes incoming customer issues from agents, stores, and customers. The Receptionist greets, assists, and provides direction and information to clients, visitors, and other guests of PAYOMATIC’s (POM) corporate office.

     

    DUTIES AND RESPONSIBILITIES:

    CUSTOMER SERVICE REPRESENTATIVE

    ·         Communicates with agents, stores, or customers either by telephone or email to provide further additional information regarding products or services.

    ·         Follows up with POM’s agents, stores, or customers to ensure that their issues are sufficiently resolved.

    ·         Prepares reports providing detailed information regarding personal customer information, unresolved matters, action taken, and any relevant comments or notes.

    ·         Collects the required information regarding matters or complaints that require further attention.

    ·         Maintains records of all transactions and interactions made with customers.

    ·         Provides comprehensive data service to the customers and advising on POM available services and products.

    ·         Makes decisions as to the complaint’s genuineness and determines possible reasons behind every complaint.

    ·         Ensures that the information regarding customer requests and complaints is provided accurately and efficiently.

    ·         Communicates effectively and successfully with customers from diverse backgrounds.

    ·         Performs other duties as assigned by supervisor.

    RECEPTIONIST

    ·         Greets clients, visitors, and guests; determines the purpose of each person’s visit and directs or escorts him or her to the appropriate location.

    ·         Answers, screens, and directs phone calls to appropriate personnel or voicemail box; takes messages and schedules appointments when applicable.

    ·         Manages daily voicemail (Okta system) retrieval/assessment. 

    ·         Sends and receives daily mail, documents, packages, and courier deliveries (from Rapid Armored, UPS, USPS, FedEx, Amazon, etc.) and delivers or distributes items.

    ·         Performs clerical duties to assist executives.

    ·         Plans luncheons or team-building activities as needed.

    ·         Sends, receives, and distributes faxes for the corporate office.

    ·         Manages inPOWER card returned mail including the destruction and disposal of inPOWER cards.

    ·         Maintains and orders replenishment of kitchen goods and the supply room items.

    ·         Reports maintenance issues occurring in the building; supervises the repair personnel.

    ·         Accepts subpoena and summons delivered to PAYOMATIC.

    ·         Performs other duties as assigned by supervisor.

    QUALIFICATIONS:

    ·         Minimum of two years of experience.

    ·         Excellent verbal and written communication skills.

    ·         Proficient in Microsoft Office

    ·         Keystrokes a minimum of 50 wpm.

    ·         Commitment to excellence and high standards.

    ·         Strong organizational, problem-solving, and analytical skills; able to manage priorities and workflow.

    ·         Strong interpersonal skills.

    ·         Ability to understand and follow written and verbal instructions

    ·         Ability to deal effectively with a diversity of individuals at all organizational levels.

    ·         Good judgment with the ability to make timely and sound decisions

    ·         Creative, flexible, and innovative team player

    ·         Ability to work independently and as a member of various teams and committees.

    ·         Acute attention to detail.

    ·         Demonstrated ability to plan and organize projects.

    ·         Bilingual Spanish and English preferred.

     

    PHYSICAL REQUIREMENTS:

    While performing the duties of this job, the employee is frequently required to do the following:

    ·         Sit for prolonged periods.

    ·         Perform repetitive motion.

    ·         Must be able to lift up to 15 pounds at times.

    ·         Coordinate multiple tasks simultaneously.

     

    WORK ENVIRONMENT:

    ·         The main work site will be at the corporate office in Syosset, New York or within that general area (Long Island/Queens).
