Position Overview:

We are seeking an experienced (3-5 years) and detail-oriented QuickBooks Online Certified Payroll and Invoicing Specialist to manage our company’s payroll, billing, and invoicing processes. The ideal candidate will have extensive knowledge of QuickBooks Online, exceptional organizational skills, and a commitment to accuracy and compliance.

Key Responsibilities:

Payroll Processing:

Prepare and process payroll accurately and timely for all employees and contractors.

Ensure compliance with federal, state, and local payroll tax regulations.

Manage employee benefits deductions, garnishments, and other payroll adjustments.

Maintain payroll records and produce payroll reports as needed.

Invoicing:

Create professional, accurate invoices using QuickBooks Online.

Send invoices to clients via email or the platform, adhering to billing schedules.

Track outstanding payments and follow up on overdue invoices.

Customize invoices as per client requirements.

Payroll & Invoicing Compliance:

Stay updated on relevant payroll laws, tax codes, and best practices.

Ensure all payroll and invoicing processes align with current regulations.

Recordkeeping & Reporting:

Maintain organized records of payroll and billing activities.

Generate financial reports for management review.

Coordination:

Collaborate with accounting, HR, and project teams to ensure accuracy and seamless workflow.

Assist in reconciliation processes and resolve discrepancies promptly.

Qualifications:

Proven experience with QuickBooks Online, especially related to payroll and invoicing.

Certified in QuickBooks (preferred but not required).

Strong understanding of payroll laws, tax regulations, and reporting requirements.

Excellent attention to detail and organizational skills.

Ability to work independently and meet deadlines.

Strong communication skills.

Preferred Skills:

Experience working in construction, contracting, or project-based environments.

Familiarity with subcontractor management and 1099 processing.

Knowledge of payroll tax filings and compliance.
