    Payroll Specialist

    Our Client is building a Utility Services Platform providing mission-critical construction and maintenance services in the transmission and distribution (T&D) space for the electric utility industry. Their clients include investor-owned utilities, electric cooperatives, municipalities, and industrial power users.

     

    POSITION SUMMARY

    The Payroll Specialist is responsible for the accurate and timely processing of payroll in a multi-state, project-driven construction environment. This role supports the Company’s finance, HR, and operations teams by ensuring payroll accuracy, compliance with wage and hour laws, union and agency requirements, and strong internal controls. This position will be based out of Charlotte, Nc headquarters and is an in-office role.

     

    RESPONSIBILITIES

    • Process end-to-end payroll for hourly and salaried employees, including field and office staff
    • Review and validate timecards, labor allocations, overtime, premiums, per diem, and other earnings
    • Ensure accurate job cost coding and labor distribution across projects
    • Prepare and post payroll journal entries and process off-cycle payrolls as needed
    • Respond to unemployment claims, wage verification requests, and state agency inquiries
    • Administer wage garnishments, child support orders, tax levies, and other court-ordered withholdings
    • Calculate and remit union dues, benefit contributions, and fringe payments in accordance with agreements
    • Ensure accurate state and local tax withholding, reporting, and remittance for multi-state payroll
    • Support payroll tax filings, reconciliations, and year-end processes including W-2 preparation
    • Maintain payroll data within Paychex HRIS and ERP systems, ensuring accuracy and completeness
    • Generate payroll and labor cost reports for finance, HR, and operations teams
    • Support payroll-related audits and compliance reviews as needed
    • Partner with HR on new hires, terminations, pay changes, and leave-related payroll impacts
    • Serve as a primary point of contact for employee payroll questions and issue resolution
    • Maintain payroll documentation and procedures to support internal controls
    • Perform other duties as assigned

       

      SKILLS / REQUIREMENTS

    • 3–5+ years of payroll processing experience, preferably in a construction or project-based environment
    • Strong understanding of payroll laws, wage and hour regulations, and payroll best practices
    • Experience processing multi-state payroll
    • Hands-on experience or familiarity with Paychex HRIS and payroll workflows
    • Experience working within ERP systems; job-cost payroll experience preferred
    • Advanced proficiency in Microsoft Excel and Microsoft Office
    • High attention to detail with strong organizational and time-management skills
    • Ability to manage strict payroll deadlines in a fast-paced environment
    • Clear and professional written and verbal communication skills
    • Ability to handle confidential information with discretion
    • Bachelor’s degree in accounting, finance, business, or a related field preferred
    • Experience supporting utility, electrical, or infrastructure construction projects preferred

       

      WORK ENVIRONMENT

      The Payroll Specialist operates in a fast-paced professional office environment and regularly works with confidential payroll and employee information. The position involves frequent use of payroll systems, ERP software, and standard office technology. The role may require extended hours during payroll cycles, audits, or year-end processing periods. Occasional travel to company offices or project locations may be required.
