Role Mission
The mission of the Payroll Tax Specialist is to ensure accurate, timely, and compliant payroll tax filings and payments within a high-volume PEO environment , while proactively managing multi-state complexity, SUTA variability, agency correspondence, and reconciliations across both client- and PEO-reported tax structures.
Key Accountabilities & Outcomes
Within the first 6–12 months, the Payroll Tax Specialist will be expected to:
Accurately process and remit federal, state, and local payroll taxes for a large, multi-state employee population
Prepare, file, and reconcile quarterly and annual payroll tax returns (941, 940, state unemployment, local filings, W-2s) in a PEO structure
Manage SUTA rate changes, wage limits, and client-specific tax nuances common in a PEO model
Handle payroll tax compliance across multiple legal entities, states, and reporting structures
Research, resolve, and respond to payroll tax notices, discrepancies, and audits from federal and state agencies
Perform detailed payroll tax liability and balance sheet reconciliations , ensuring alignment between payroll systems and the general ledger
Partner closely with Payroll Operations, Accounting, and Finance to ensure clean data flow and issue resolution
Identify and implement process improvements and controls to support continued growth and increasing transaction volume
Support internal controls, documentation, and external audits related to payroll tax compliance

Technical Expertise
Deep working knowledge of federal, state, and local payroll taxes
Hands-on experience with multi-state payroll tax compliance
Strong understanding of SUTA mechanics , wage bases, and rate management
Experience with payroll systems and tax filing platforms (PEO experience strongly preferred)
Advanced Excel skills for reconciliations and reporting
Qualifications
3–5+ years of payroll tax experience in a PEO, payroll services, or high-volume multi-state environment
Demonstrated experience managing payroll tax filings, payments, and reconciliations
Proven success resolving payroll tax notices and working directly with tax agencies
Experience supporting audits and compliance reviews
CPP certification a plus, but not required
