Job Description
Peak Performers has partnered with an international law firm to assist in their search for a Legal Billing Coordinator for their Chicago, IL office. In this role, you will be responsible for multiple aspects of billing including but not limited to the accurate and timely generation of bills, adherence to billing policies and client specifications, compliance with outside counsel guidelines and the management of unbilled fees and disbursements for responsible billing attorneys in the Chicago office.
Major duties
Manages and oversees intricate billing processes, internal paperwork, write-offs, transfers, retainer applications, and on-account transactions. Ensures the timely processing of these documents by following up as necessary.
Coordinates the creation of invoices for review by responsible billing attorneys.
Maintains an in-depth understanding of client terms, special billing agreements, and attorney/client preferences.
Manages the entire Client Accounting process for billing attorneys and clients.
Scrutinizes time records for accuracy, ensuring they are correctly assigned to the appropriate client/matter based on individual client and billing attorney specifications.
Calculates overrides when necessary, compiles supporting documentation for invoices, and conducts a thorough review.
Proactively monitors outstanding billable hours for assigned clients and prepares an analysis of fees billed, unbilled, and collected.
Maintains and updates information in billing logs, reminder memo logs, and response sheets.
Keeps a close eye on accounts receivable for assigned clients and coordinates collection efforts when needed.
Aids in reconciling and applying unidentified cash receipts from clients to ensure swift resolution.
Assists in preparing the monthly billing forecast for assigned clients in the Chicago office.
Participates in month-end tasks, which may include filing and distributing billing summaries, among other duties.
What are we looking for?
Bachelor's degree
Experience working in a legal firm.
Minimum of two years' legal billing experience with some account analysis related functions.
Familiarity with Client Accounting principles, procedures, and up-to-date accounting trends and techniques.
Proficiency in using relevant firm software programs, such as Outlook, Excel, and PowerPoint, and the ability to quickly adapt to new software and operating systems like Aderant and StarCollect.
Displayed competence in Microsoft Word and Excel.
About this position
Salary: $70,000 - $80,000
Days / Hours: Monday-Friday
